Deposits & Partial Invoice Payments (demo)

Customers don’t always pay one invoice in full. Often one check or ACH covers several invoices, and sometimes it covers only part of one. Truckbase now tracks exactly what has been received and what is still owed on every invoice, so your AR matches your bank account.

Partial payments on invoices

  • Every invoice now shows its Invoice Amount, Received Amount, and Amount Outstanding.

  • A new Partially Paid status appears on invoices and in the orders table, and you can filter by it.

  • Use the new Receive payment action to record a payment against an open or partially paid invoice.

  • Mark as paid is now Mark as fully paid. You can choose to be prompted for the payment method, date, and reference number each time.

The new Deposits page

  • Record a customer payment once and apply it across as many of their open invoices as it covers, the same way QuickBooks’ Receive Payment screen works.

  • Running totals show the amount received, the amount applied, and the difference, so nothing is left unapplied.

  • View, edit, or delete any recorded payment, and invoice balances update automatically.

Clearer aging and credit

  • Invoice status and aging now have separate columns. Standing (Good / Past Due) and Days Past Due sit next to Status, which makes the invoice list much easier to scan.

  • Customer credit utilization and AR aging now use the amount outstanding, so a partial payment frees up available credit right away.

Two-way QuickBooks Online sync

  • Payments recorded in Truckbase are created in QuickBooks Online and applied to the right invoices and Deposit To account.

  • Payments recorded in QuickBooks Online flow back into Truckbase and update invoice balances.

  • Deposits and partial payment syncing are not yet available for QuickBooks Desktop users, only for online

To enable: the Deposits page is under Invoices. To turn on the payment-details prompt for “Mark as fully paid,” go to Settings > App Settings > [confirm path] (set per division).

💡 Tip: “Overdue” is no longer an option in the invoice status filter. If you have saved views that used it, switch them to the Standing = Past Due filter.

Custom Order Fields

Every operation tracks something unique, like a wash ticket number, a customer reference, or a yard code. You can now add up to 3 custom order fields with your own titles, and they work just like built-in fields such as BOL # and Reefer Temp.

  • Custom fields appear on create/edit order and on the order overlay, where you can edit them inline.

  • Add them as columns on the orders table, then filter by them and search for their values with global search.

  • Disable a field to hide it while keeping its historical data, or delete it to remove the field and its data permanently.

  • Choose whether drivers can edit each field.

To enable: navigate to Settings > App Settings > Dispatch > Order Fields > Custom Order Fields. Only admins can create and manage custom fields.

💡 Tip: Deleting a custom field erases its data from every order and can’t be undone. If you just want to stop using a field, disable it instead.

Quotes Improvements

Quotes now carry through cleanly to the orders they become, so you don’t end up with duplicates and can always see which quotes turned into business.

  • Merge a quote into an existing order. If a load later arrives by EDI, attach the quote to that order instead of creating a second one.

  • Converted status: quotes that become orders are marked Converted and become read-only, so the original quote stays intact.

  • View and filter converted quotes to see which quotes turned into orders.

  • A new Quote Send Date column shows when each quote went out.

Email PDF Import Improvements

Importing loads from email is now more reliable and easier to keep track of.

  • Automatic replies: people who email loads to loads@truckbase.com get an automatic reply confirming that we received or processed their email.

  • Import without scan: if the automatic scan fails for any reason, you can still import the PDF or email and keep moving.

  • Formatting kept: forwarded emails keep their line breaks in the generated PDF, so they’re easier to read.

  • A pending-inbox badge shows how many imports are waiting for review.

  • A Mobile source label shows which imports came from the mobile app

More Improvements

Carrier vetting integrations: RMIS & MyCarrierPackets

Vet carriers from their profiles, with consistent data whether you use RMIS or MyCarrierPackets.

  • New RMIS integration: connect RMIS to keep your monitored carriers in sync automatically, look up a carrier you don’t monitor yet with quick search, and request carrier onboarding through RMIS without leaving Truckbase.

  • Carrier Vetting status: a single status on every carrier shows whether they’re monitored and certified or available, for both RMIS and MyCarrierPackets.

  • Automatic Do Not Use: you can choose to have carriers flagged Do Not Use automatically when their vetting status changes.

  • Richer carrier profiles: insurance now supports any number of policies, and new Authority and Safety History sections show the key details at a glance.

Smaller updates

  • Quick edits from tables: update trip status from the Dispatch/Trips table, and driver pay from the Orders table.

  • Project columns & filters: Project Name and Project Number columns on the Orders and Trips tables, plus Project filters on the Calendar.

  • PU/DEL # filters: filter by stop pickup and delivery numbers, including in advanced filters.

  • Logo size on all documents: set the logo size on Rate Confirmations, Bills of Lading, and Trip Manifests, not just invoices.

  • Deadhead miles setting: turn off automatically calculated empty miles between trips if you track empty miles only on the trip route.

  • Internal location notes: a new Internal Notes field on locations that only admins and dispatchers can see. It never appears to drivers, carriers, or on documents.

  • Pickup number in dispatch messages: add the pickup number to your default dispatch message.

  • Fuel transaction details: EFS fuel transactions and CSV imports now include trailer and fuel stop location.

Timeclock (early access)

Trip hours are no longer limited to one start and one end time. Start and stop the clock on a trip as many times as you need. Each time segment gets a category (Trip Hours, Yard Work, Pre-Trip, or Other), and together they add up to the trip’s total hours.

  • A new Hours tab on the trip overlay, plus a company-wide Time Tracking table with saved views, filters, inline editing, and CSV export

  • Drivers can start and stop the clock from their driver link

  • A warning appears if a trip with a running clock is added to a settlement, and segments lock once they’re on a settlement

Timeclock is available by request only. Please reach out to support@truckbase.com to join early access or set up a demo.

Supplementary, Standalone & Project Invoices (early access)

Bill extra charges without changing the original invoice. Supplementary invoices bill against an order (numbered like 1042-S1), standalone invoices need no order at all, and project invoices bill against a project.

  • Supplementary revenue counts toward the order’s margin. Standalone revenue is reported as Standalone Other Revenue.

  • All three types sync to QuickBooks Online and QuickBooks Desktop.

  • These invoices are not sent over EDI. Factoring and credit memos for these invoice types are coming in a later release.

These invoice types are available by request only. Please reach out to support@truckbase.com to join early access or set up a demo.
