TrunkSubmittal - Automated Submittal Review Agent

Comparisons of submittals against specifications are automatically processed for your review.

What is the Submittal Review Agent?

Reviewing submittals is essential yet time-intensive. Trunk Tools’ Submittal Review Agent automates this process by detecting new uploads in Procore or Autodesk and comparing them to project specifications.

The agent highlights key matches and discrepancies, providing a clear starting point for compliance review. This saves time, reduces manual work, and helps teams catch issues early.

Automation Requirements

The Submittal Review Agent will automatically sync newly uploaded submittals as long as the following requirements are met:

  • TrunkSubmittal automatically processes newly submitted documents when they are tagged as one of the supported submittal types (Product Data, Test Reports, Certificates, O&M Manuals, Sustainability/LEED, Warranties, or Qualifications)

  • Submittal is uploaded directly to Procore or Autodesk. Trade partners can upload a submittal directly, or someone on the construction team can upload it.

  • For Procore, we accept all statuses except “closed” or “void”

  • For Autodesk, the document state needs to be “manager review” or “under review”

  • The specification is linked to the submittal in Procore/Autodesk.

How to Review a New Submittal

Newly uploaded submittals will appear in Trunk Tools under the Submittal Review Agent on the left, under the project name. A green number will appear, notifying you that new submittals are ready for review.

Click the down arrow next to the Submittal Review Agent to see the name of the submittals pending review.

After clicking on a new submittal from the list of submittals pending review, the submittal analysis will appear. This initial review is like another set of eyes, helping teams cut submittal review time in half, or more!

The review lists the name of the document submitted, references the submittal documents used in the analysis (clickable for further investigation), reports the initial compliance finding, lists the spec section referenced, references the RFI documents impacting the submittal (if applicable), and lists additional context documents (if applicable).

The Submittal Review Agent centralizes everything you need to streamline the review process.

No more digging through specs—just one click opens the exact page of the relevant section. No need to recall which RFIs are impacted—they're clearly listed for easy reference.

Next, a Compliance Table compiles the specification requirement, compliance "rating" (Fully Compliant, Partially Compliant, Not Compliant), and notes - this is where the in-depth analysis is found, which describes the why behind the compliance rating.

Finally, the review lists what is needed to take action on this submission.

  • Conflicts Found distills what is missing.

  • Required Actions compiles what needs to be provided for the submittal to be compliant

  • Draft Email to Architect/Sub will automatically create an email based on this review to send to the relevant parties to keep the ball rolling.

  • Source Documents provide links to the documents referenced to verify and continue analysis, as needed.

All Submittal Reviews

In addition to reviewing submittals one by one as they come in, there is also an option to view All Submittal Reviews. Click the down arrow next to the Submittal Review Agent, and then click All Submittal Reviews.

This table provides a list of the submittal reviews processed in Trunk Tools, including their compliance rating, a link to the submittal in the source system, a link to the spec section in the source system, and the date the review was completed by the system. This high-level list is helpful for meetings, or whenever a list of submittal compliance statuses is needed.

Click the button in the top left of the table next to Submittal Review to select all submittals (or multi-select individual submittals) to bulk download the files and artifacts related to the submittal review.
