TrunkSubmittal: Submittal Register Feature User Guide for Procore Integration

Automatically extract submittal requirements from your specification documents and publish directly to Procore

Introduction

The TrunkTools Submittal Agent automatically extracts submittal requirements from your specification documents and generates a Submittal Register, saving hours of manual work.

Key Benefits:

  • Save 8+ hours per project on manual register creation

  • Publish directly to Procore without re-entering data

  • Review submittals alongside highlighted spec sections for easy validation

  • Manage multiple spec versions and see changes over time

What's new in this release:

The Submittal Register now extracts both submittal directives (from Part 1 – Submittals) and product groups and products (from Part 2 – Products) of each spec section. You can view products alongside their spec sections, create submittals directly from a product, and see which products are covered by each submittal.

Included:

  • Extraction of all submittal directives from Part 1 – Submittals

  • Extraction of product groups and individual products from Part 2 – Products

  • Ability to create submittals from products

  • Ability to view Submittals and Products in Spec View

  • Full review, editing, and publishing workflow to Procore

We're iterating quickly based on customer feedback. If you notice missing submittals or products, or have suggestions, please let us know using the Share Feedback button.

Prerequisites

Before you can use the Submittal Register with Procore, ensure the following requirements are met:

Procore Requirements

  1. Submittals Tool Enabled: Your Procore project must have the Submittals tool activated. Check by navigating to your project and looking for "Submittals" in the left navigation.

  2. Submittals Tool Access: You must have access to the Submittals tool in the Procore project.

  3. Admin Permission for Submittals Tool (Recommended): To publish submittals with all fields populated correctly, including Submittal Manager assignments, you need Project Admin permission for the Submittals tool (not full project admin). Without this permission, submittals will still be created, but Procore will ignore certain fields and default the Submittal Manager to yourself.

Without Admin permission, submittals will still be created, but Procore will ignore the following fields and either default them or leave them blank:

  • Submittal Manager

  • Submit By date

  • Issue Date

  • Received Date

  • Status

If you only need basic submittal creation without these fields, Standard permission is sufficient.

How to Verify Your Procore Permissions

  1. Log into Procore and navigate to your project

  2. Check if "Submittals" appears in the left navigation menu

  3. Click into Submittals and verify you can view the submittal list

  4. If you don't see Submittals, ask your project admin to grant you access

  5. To verify Admin permission: Go to your project's Settings → Permissions and check that your user has "Admin" level for the Submittals tool. If you only have "Standard" permission, ask your project admin to upgrade you to Admin for Submittals.

TrunkTools Requirements

  • Connected Project: Your TrunkText project must be connected to your Procore project

  • PDF Specification Documents: Your spec book must be in PDF format, following CSI MasterFormat structure

Getting Started: Creating Your First Register

Creating a submittal register involves a guided setup wizard that walks you through seven steps. This ensures your register is properly configured before AI extraction begins.

Accessing the Submittal Register

From your TrunkText project, click TrunkSubmittal and find Submittal Register in the left navigation

If this is your first register:

  • You'll be taken directly into the setup wizard

  • If your project has multiple integrations, you'll start at Step 1: Select Integration

  • If your project has only one integration, that step is skipped and you'll start at Step 2: Version (naming your register)

If a register already exists for this project:

  • You'll be taken to the existing register

  • Click + New Register to create an additional register

Setup Wizard Overview

The setup wizard includes the following steps:

Step

Description

1. Select Integration

Choose which Procore project to connect this register to

2. Version

Name this version of your register (e.g., "Version 1" or "Initial Issue")

3. Configure Titles

Define how submittal titles should be formatted (components and separators)

4. Submittal Types

Map TrunkText's submittal types to your Procore submittal types - this step is extremely important

5. Submittal Managers

Assign who will manage submittals (one global manager or by CSI division)

6. Upload Spec Book

Upload your specification PDF or select from existing project documents

7. Generate

The agent processes your specs and extracts all submittal requirements

Setup Wizard: Step-by-Step

Step 1: Select Integration

If your TrunkTools project is connected to multiple Procore instances, select which one this register should publish to. Each register can only be connected to one integration.

Step 2: Version

Give this Register version a name. When you upload a new spec book version later, you'll be able to compare changes between versions.

Step 3: Configure Titles

Define how your submittal titles should be formatted. This ensures consistency across all extracted submittals and matches your project standards.

Available title components:

  • Spec Section Number – e.g., "03 30 00"

  • Spec Section Title – e.g., "Cast-in-Place Concrete"

  • Submittal Type – e.g., "Product Data", "Shop Drawings"

  • Sequential Number – Auto-incrementing number

  • Custom Prefix/Suffix – Your own text

Example: "03 30 00 - Cast-in-Place Concrete - Shop Drawings" using Spec Number + Spec Title + Type with dash separators.

Step 4: Submittal Types & Procore Mapping

Map the submittal types that TrunkTools extracts to the item types available in your Procore project. This ensures submittals are created with valid types in Procore.

Why mapping matters: Procore projects may have different submittal types configured. For example, TrunkTools might extract "Sample" but your Procore project uses "Material Sample". Mapping ensures compatibility. If no mapping is done, submittals with unmapped types may fail to export.

Standard types include:

Step 5: Submittal Managers

Assign who will manage the submittals in Procore. You have two options:

Option A: Global Manager (Recommended for smaller projects)

Assign one person to manage all submittals regardless of spec section. This is the simplest option and works well when one Project Engineer handles all submittals. A list of users from your Procore project will load and you need to select one.

Option B: By CSI Division (For larger projects)

Assign different managers to different CSI divisions. For example, your Concrete Manager handles Division 03, your Masonry Manager handles Division 04, etc.

Step 6: Upload Spec Book

Upload your specification document. You can either:

  • Drag and drop a PDF file into the upload zone

  • Browse to select a file from your computer

  • Select from existing documents already uploaded to your TrunkText project

File requirements:

  • PDF format only

  • CSI MasterFormat structure (standard spec book format)

  • Not password-protected

  • Not corrupted or damaged

Step 7: Generate Submittals

  1. Parse your spec book and identify all CSI sections

  2. Extract submittal requirements from Part 1 – Submittals (clearly stated submittal directives)

  3. Extract product groups and individual products from Part 2 – Products 4.

  4. Generate your complete submittal register

Processing time: Typically 3-6 minutes depending on spec book size. As soon as the first batch of submittals are processed, you will be taken to the Submittal Register table and new submittals will continue streaming until the extraction process is complete.

Working with the Submittal Register Table

Once generation is complete, you'll see your submittal register in a table format. This is your workspace for reviewing, editing, and managing extracted submittals before publishing to Procore.

Sorting and Filtering

Use the table controls to quickly find specific submittals:

Sorting: Click any column header to sort ascending/descending. Default sort is by CSI section number.

Sorting options:

  • Submittal Type

  • Spec Section

  • Submittal status

  • Required on site date

Filtering options:

  • Submittal Type

  • Spec Section

  • Category

  • Product

  • Submittal Manager

Editing Submittals

Inline Editing: Click on any editable cell to modify its value. Changes are saved automatically when you click away or press Enter.

Undo: Each submittal has a "Revert to original" option to restore the AI-extracted value if you want to undo your changes.

Adding and Removing Submittals

Add New Submittal: Click the "+ Add Submittal" button to create a new row. Fill in the required fields (Title, Type, Category, Spec Section) and save.

Delete Submittal: Select the submittal(s) you want to remove, then click the Delete action. You'll be asked to confirm before deletion.

Duplicate Submittal: Use the "Duplicate" action to create a copy of an existing submittal. The copy will have "(Copy)" appended to the title and is marked as "Manually Added."

Bulk Actions

  • Select All: Use the checkbox in the header row

  • Bulk Delete: Remove multiple submittals at once

  • Bulk Export as CSV: Export selected submittals as CSV

  • Bulk Export to Procore: Create Submittals in Procore

Providing Feedback

Your feedback helps us improve our AI extraction accuracy. You can provide feedback at two levels:

Row-Level Feedback (Thumbs Up / Thumbs Down)

Each submittal row has thumbs up and thumbs down icons on the right side. Use these to tell us:

  • Thumbs Up: This submittal was correctly extracted and looks good.

  • Thumbs Down: Something is wrong

This feedback helps train our TrunkSubmittal agent to be more accurate over time.

Global Feedback (Share Feedback Button)

Click the Share Feedback button in the top-right corner to provide overall feedback about:

  • Your experience with the Submittal Register

  • Missing submittals you expected to see

  • General suggestions or issues

  • Feature requests

Pro Tip: If you notice patterns in extraction errors (e.g., a specific type is consistently miscategorized), use the global Share Feedback button to let us know – this helps us make systematic improvements.

Spec View Page: Validating Submittals

The Spec View provides a side-by-side comparison of your extracted submittals and the original specification text. This is invaluable for validating AI extractions and understanding the source of each requirement.

Navigating Spec View

Click the Specs tab to access Spec View. The left panel shows your spec sections organized by CSI division, and the right panel shows the submittals and highlighted source text.

  • Division Navigation: Divisions can be expanded or collapsed.

  • Spec Section Detail: Click a spec section to see its submittals listed alongside the highlighted specification text.

  • View Highlight: See exactly where in the spec text each submittal requirement was extracted from.

Groups & Products: Making Submittals More Specific

TrunkSubmittal extracts two things from each spec section:

  • Submittals from Part 1: the things the spec says to submit

  • Groups and Products from Part 2: the actual materials and items the spec covers

With both in hand, you can easily assign specific products to your submittals so your register reflects exactly what's being submitted, not just generic directives like "Product Data: For each type of product indicated."

Browsing Products in Spec View

Open Spec View, pick a spec section, and click the Products tab on the right. You'll see all the groups and products the AI pulled from Part 2.

From this tab you can:

  • Click any product or group to jump to where it appears in the PDF

  • Expand or collapse groups to see the products inside

  • Search by product or group name

This tab is for reviewing what was extracted. Assigning products happens in the register table.

Assigning Products to Submittals

In the register table, each submittal has a Groups & Products column with a count like "3 Groups | 7 Products". Click the count to open the assignment panel for that submittal.

From the panel, pick the products you want to assign and choose how to handle them:

  • Add them to this submittal: everything goes on the current submittal

  • Create a new submittal: bundles your selections into a new submittal, leaving the current one as-is

  • Create a separate submittal for each product: makes one submittal per product (available when you've picked two or more)

A preview shows what will change before you save.

Overview Dashboard

The Overview page provides a summary of your entire submittal register at a glance. Click Overview in the navigation to access it.

Key Metrics

  • Total Submittals Generated: The complete count of all extracted submittals

  • Submittal Types Detected: How many unique types were found

  • Spec Sections: Number of CSI sections processed

Breakdown by Category

See how your submittals are distributed:

  • Action/Informational: Percentage and count of pre-construction submittals

  • Closeout: Percentage and count of end-of-project submittals

Type Distribution

View the breakdown of submittals by type (Product Data, Shop Drawings, Samples, etc.) with percentages and counts. Click any type to jump to the register table with that filter applied.

Division Coverage

See how many submittals were extracted from each CSI division. This helps you quickly identify if any major divisions are missing or have unexpected counts.

Exporting Your Register

CSV Export

Export your submittal register as a CSV file for use in spreadsheets or manual import into other systems.

  1. Select the submittals you want to export (or select all)

  2. Click the Export button

  3. Click “CSV”

  4. The file will automatically be downloaded

Publishing to Procore

The most powerful feature of the Submittal Register is the ability to publish directly to Procore, creating submittal items without manual data entry.

Before You Publish

Ensure the following before publishing:

  • All submittals have required fields: Title, Type, Category, Submittal Manager

  • Type mappings are configured: Each type maps to a valid Procore item type

  • Manager is assigned: Either global or by division

  • You have Submittals tool access: In the target Procore project

Publishing Workflow

  1. Select the submittals you want to publish (or select all)

  2. Click Publish to Procore

  3. The TrunkSubmittal agent validates all fields

  4. Submittals are created in Procore

  5. You'll see real-time progress as each submittal is created

Spec Section Handling

Key Difference from Autodesk: Procore allows submittals to be created without spec sections. If a spec section doesn't exist in your Procore project, the submittal will still be created successfully – just without a spec section link.

After publishing, you can manually attach spec sections in Procore:

  1. Open the submittal in Procore

  2. Click "Edit"

  3. Select the appropriate spec section from the dropdown

  4. Save

Pro Tip: If you want submittals to have spec sections attached from the start, create all spec sections in Procore (Specifications → Spec Sections → Add Section) before exporting from TrunkTools.

Understanding Publish Status

After publishing, each submittal shows one of three statuses:

  • Not Exported: Not yet published to Procore

  • Exported: Successfully created in Procore

  • Export Failed: Something went wrong – see Troubleshooting section

Version Management

As your project progresses, you'll receive updated specification books. The Submittal Register supports multiple versions so you can track changes over time.

Uploading a New Version

  • Click + New Register from the Submittals Page in your existing Register

  • Upload the updated spec book PDF

  • Give the new version a name

  • The TrunkSubmittal agent processes the new specs and generates a new register version

Version Dropdown

Use the version dropdown in the header to switch between register versions. Each version maintains its own set of submittals and publish status.

Troubleshooting

Common Issues and Solutions

Issue

Solution

"User does not have permission to create submittals"

Ask your Procore project admin to grant you access to the Submittals tool

"Type not found" error

The submittal type mapping points to a type that doesn't exist in Procore. Update your type mappings or add the custom type in Procore first (Submittals → Admin → Submittal Types).

"Submittal created without spec section"

This is expected behavior, not an error! The submittal was created successfully. You can manually attach the spec section in Procore by editing the submittal.

"Manager not found" error

The selected manager may no longer have access to the Procore project. Update the manager assignment in your register settings.

Export stuck at "Creating" status

The system is still processing. Wait a few minutes. If it persists beyond 10 minutes, contact support.

Some submittals succeeded, others failed

This is normal – TrunkTools creates what it can. Check the "Export Failed" items for specific error messages, fix the issues, and re-export just the failed items.

403 Forbidden error

There may be a permission or connection issue. Verify you have Submittals tool access and that your TrunkTools project is properly connected to Procore.

Getting Help

If you encounter issues not covered here:

  • Check the error message displayed in TrunkTools for specific guidance

  • Contact TrunkTools support with your project name and the error message

  • Include screenshots if possible

Best Practices

Before Starting

  • Verify your permissions: Confirm you have Submittals tool access in Procore before starting

  • Review your type mappings: Ensure TrunkSubmittal types map correctly to your Procore project's types

  • Establish naming conventions: Configure your title format to match your project standards

  • Create spec sections in advance (optional): If you want submittals linked to spec sections, create them in Procore first

During Review

  • Work by division: Review one CSI division at a time for thoroughness

  • Use filters strategically: Filter by type or category to review similar items together

Publishing Strategy

  • Verify in Procore: After publishing, spot-check a few submittals in Procore to confirm they look correct

Handle failures promptly: Address any "Export Failed" items before they accumulate
