V1CE Check-ins send a one-off email to a group of your contacts at once. Use them for announcements, event invites, or any message that goes to many people.

How do I send a Check-in to my contacts?

V1CE Check-ins let you send a one-off email to a group of your captured contacts at once. Use Check-ins for product announcements, event invites, monthly updates, or any message that goes to many of your contacts at the same time. Check-ins is the renamed version of what was previously called Broadcasts on the legacy V1CE software. Check-ins is available on V1CE ClientCapture OS.

What is a Check-in

A Check-in is a single email you send to many of your V1CE contacts at once. Unlike Smart follow-ups (which send to one contact based on a trigger), a Check-in is a one-off send to a group you select. Examples of what people use Check-ins for:

• Announcing a new product or service

• Sending an event invitation to recent contacts

• Sharing a useful resource (article, case study, video)

• A monthly or quarterly update to your network

• A "happy new year" or seasonal message

How to send a Check-in

To send a Check-in on V1CE ClientCapture OS:

  1. Log in at app.v1ce.co

  2. Click the More menu in the sidebar, then Check-ins

  3. Click Create Check-in

  4. Choose the contacts to send to (all, by tag, by source, or a manual selection)

  5. Write your subject line and email body

  6. Add buttons, links, or images if you want

  7. Preview the Check-in to see how it will look in the inbox

  8. Send now, or schedule for a specific date and time

Once sent, you receive a confirmation email with the recipient count and delivery time. Stats become available within 24 hours.

Who can you send Check-ins to?

You can send a Check-in to any contact stored in your V1CE CRM — that includes contacts captured via your Contact Capture form, manually added contacts, and contacts you have imported. You select recipients by:

All contacts — every contact in your CRM

By tag — only contacts with a specific tag (e.g., "Event A", "Customer", "Lead")

By source — contacts who came from a specific V1CE page or event

Manual selection — pick individual contacts from your CRM

When to use a Check-in vs a Smart follow-up

V1CE has two different email features and they do different things:

• Use Check-ins when you want to send the same email to many contacts at once, as a one-off send. The email goes out as soon as you send or at the scheduled time.

• Use Smart follow-ups when you want emails to fire on their own based on a trigger (e.g., "when someone fills in my Contact Capture form, send them a welcome email", or "follow up 7 days later if they haven't replied").

Many V1CE users use both — Smart follow-ups for new contacts, Check-ins for periodic updates to the whole network.

How to see who opened and clicked

Each Check-in has its own stats page in your dashboard. Within about 24 hours of sending, you can see:

• How many contacts received the Check-in

• How many opened it

• How many clicked each link

• Bounces or unsubscribes

To view the stats, go to Check-ins, click on the Check-in you sent, and look at the Stats tab.

What happens if a contact unsubscribes?

Every Check-in email includes an unsubscribe link by default (required by anti-spam law). If a contact clicks it, they are removed from your Check-in recipient list and will not receive future Check-ins from you. They can still be in your CRM for other purposes, but Check-ins will skip them.

If you are on legacy V1CE software

On the legacy V1CE Plus, Pro, or Teams software, the equivalent feature is called Broadcasts. It works the same way but the menu location is different. To get the current Check-ins feature, contact V1CE support about moving to V1CE ClientCapture OS.

My Check-in is not sending

If your Check-in is not sending, check the following:

• Confirm the Check-in status. If it's still in Draft, you need to click Send

• If you scheduled the Check-in, confirm the scheduled time has actually passed

• Confirm there are recipients selected (an empty recipient list will not send)

• Check the Check-in's status page — if it's marked as Failed or Held, contact V1CE support with the Check-in name
