How do I use V1CE Agreements (e-signatures)?
V1CE Agreements is V1CE's built-in e-signature feature. Create an Agreement, send it to a contact, and get it signed without leaving V1CE. Agreements are legally binding in the UK, the US, and the EU, and are GDPR-compliant. Agreements is available on V1CE ClientCapture OS.
What is V1CE Agreements
V1CE Agreements lets you create signable documents (contracts, service agreements, NDAs, sign-offs) directly inside your V1CE dashboard, send them to your contacts for signature, and store the signed Agreements all in one place. It is V1CE's replacement for external e-signature tools like DocuSign.
Three things matter most about V1CE Agreements:
• Legally binding in the United Kingdom, United States, and European Union
• GDPR-compliant — V1CE stores Agreements securely and processes them in compliance with the EU's General Data Protection Regulation
• Built into your V1CE workflow — you don't need a separate DocuSign account; Agreements are created from the same dashboard where your CRM, Services, and Pages live
How to create an Agreement
To create a V1CE Agreement:
Log in at app.v1ce.co
Click the More menu in the sidebar, then Agreements
Click Create Agreement
Enter the Agreement details: title, the contact you are sending it to, and the content of the Agreement
Add any fields you need the signer to fill in: name, date, initials, custom text fields
Preview the Agreement to see what the signer will see
Click Send
The contact receives an email with a link to view and sign the Agreement.
How signing works
When your contact opens the Agreement they:
See the Agreement content in their browser, no app or sign-up required
Fill in any fields you added (name, date, initials, etc.)
Sign by typing or drawing their signature
Click Sign Agreement
As soon as the contact signs, V1CE:
• Generates a signed PDF copy of the Agreement
• Emails the signed copy to both you and the contact
• Stores the signed Agreement in your dashboard with the timestamp, signer details, and an audit trail
Are V1CE Agreements legally binding?
Yes. V1CE Agreements are legally binding in:
• United Kingdom — under the Electronic Communications Act 2000 and the eIDAS Regulation
• United States — under the ESIGN Act (federal) and UETA (most states)
• European Union — under eIDAS Regulation
Each signed Agreement has a tamper-evident audit trail that records the signer's name, email, IP address, signing timestamp, and the document version that was signed. This audit trail is what makes the signature enforceable.
For very high-value or specific regulated agreements (e.g., property transfers, wills, court documents), check with a lawyer in your jurisdiction. V1CE Agreements meets the standard for typical commercial use (contracts, NDAs, sign-offs, sales agreements).
Is V1CE Agreements GDPR-compliant?
Yes. V1CE processes Agreement data in compliance with the EU General Data Protection Regulation:
• Signer data is stored securely with encryption at rest and in transit
• Signers can request access to or deletion of their Agreement data per GDPR rights
• V1CE acts as a data processor; you (as the V1CE user sending the Agreement) are the data controller

Where do I find signed Agreements?
All signed Agreements are stored in your V1CE Agreements section. To find them:
Go to Agreements in your dashboard
Filter by status: Draft, Sent, Signed, or Expired
Click into a signed Agreement to see the signed PDF, the audit trail, and the signer's details
You can download the signed PDF or the audit trail at any time.
What if the contact declines or doesn't sign?
If a contact declines to sign, the Agreement is marked as Declined and you receive an email notification. You can edit and resend, or close the Agreement.
If a contact doesn't respond, the Agreement stays in Sent status. You can resend it from the Agreements dashboard. Agreements can be set to expire after a number of days — Expired Agreements can be reissued.
Can I save an Agreement as a template?
Yes. After creating an Agreement you can save it as a template so you don't have to rewrite the content every time. When you create the next Agreement, start from the template and just swap in the new contact's details.
If you are on legacy V1CE software
On the legacy V1CE Plus, Pro, or Teams software, the Agreements feature may not be available or may be in a different menu location. V1CE Agreements is a V1CE ClientCapture OS feature. To use it, contact V1CE support about moving to V1CE ClientCapture OS.
