Managing file visibility within an event is essential to ensure that the right people (employees and clients) can access the necessary documents and photos. In Vantage, you can easily control who can view specific files using the visibility settings. This article will guide you through the two ways to adjust the visibility of documents and photos.
Adjusting Visibility while Uploading Files
You can set their visibility immediately when uploading documents or photos to an event.
Start Uploading: Go to the designated event and upload photos or documents (this article explains how to upload a Document).
Locate the Visibility Column: You'll notice a Visibility column next to each file during the upload process.
Set Visibility: By default, all files are visible to all users. To change this, tap the "Assigned lite users +3" button.
Select Users: Choose which users should have access to the document or photo. Remember, all files remain visible to Full users regardless of the visibility settings, and the Clients can see the photos only on the Client Portal.
Save Changes: Tap Enter to apply the updated visibility settings.
Adjusting Visibility after Uploading Files
If the file has already been uploaded, you can modify its visibility anytime.
Open the Event: Navigate to the event where the file is located.
Select the File: Tap on the file whose visibility you want to adjust.
Access Visibility Settings: Click on the Visibility button.
Edit Visibility: Select or deselect users to control who can view the document.
Save Changes: Tap Enter to apply the updated visibility settings.
Notes
Full Users always have access to all files in the event, regardless of the visibility settings.
Adjusting visibility ensures that sensitive information is shared only with relevant team members.
