What is an opportunity?

An overview of opportunities in Vantage and where they fit in your sales-to-execution workflow.

An opportunity in Vantage is where you track a potential deal and build out everything it will need: the scope of work, pricing breakdown, documents, and the project structure your team will execute. When the client confirms, you convert it into a project with events ready to schedule.

What an opportunity tracks

Each opportunity holds everything relevant to a potential deal in one place.

Info is the main tab. It holds the core deal details: client, owner, date, scope, and a pricing breakdown by labor, materials, travel, and more. The task list on the right keeps pre-sale actions on track. An activity log at the bottom records every change made to the record and when.

Config is where you plan the project before the deal is won. You define the event types that will be created on conversion and optionally select a project template to pre-fill the project type, task list, and team roles.

Docs is where you store files related to the deal: proposals, site photos, reference documents, and anything else the team needs.

Comments is where your team discusses the deal directly on the record, without needing to go to email or chat.

How opportunities fit into the Vantage workflow

The typical flow from sale to execution in Vantage looks like this:

  1. Create an opportunity and link it to a client.

  2. Track the deal through your pipeline stages (New, Sent, Won, Lost).

  3. Use the Config tab to plan the project structure while the deal is still in progress.

  4. When the client approves, mark the opportunity as Won and convert it to a project.

  5. Events are created automatically based on the Config tab. Your team can start scheduling work immediately.

What is the difference between an opportunity and a project?

An opportunity is a pre-sale record used to track a potential deal. A project is an operational record used to manage and schedule work once the deal is confirmed. Opportunities sit upstream of projects: when an opportunity is won, it converts into a project.

Can I use Vantage to send proposals to clients?

Proposals are not sent directly from Vantage. Opportunities are used to track deal progress internally. Your team manages the proposal process outside Vantage and updates the opportunity status as the deal moves forward.

Do I need to use Opportunities, or can I create projects directly?

You can create projects directly without using Opportunities. The Opportunities module is for teams that want to track deals before they are confirmed. If your work comes in without a sales stage, you can skip Opportunities and create projects directly.

What happens to an opportunity after it is converted to a project?

The opportunity stays in your pipeline as a Won record and remains linked to the project. You can still open it to view the pricing, scope, and files. It is not deleted or hidden after conversion.

Can I delete an opportunity?

Yes. To delete an opportunity, open it, click the three-dot menu in the drawer header, and select Delete. Deleting an opportunity is permanent and cannot be undone. If the opportunity has already been converted, deleting it does not affect the linked project.
