Converting a won opportunity into a project

What to do in Vantage when a deal is won and you are ready to start the project.

When a client approves a deal, you convert the opportunity to a project in Vantage. The conversion creates the project and its events automatically, based on what you set up on the Config tab.

How to convert an opportunity

To convert a won opportunity to a project, change the opportunity's status to Won.

You can do this by dragging the card to the Won column on the board, or by selecting Won from the status dropdown inside the opportunity drawer.

A confirmation modal appears. Before confirming, choose what to carry over from the opportunity to the new project.

Copies the opportunity's address to the new project.

All four are checked by default. Uncheck any you do not want to carry over. Click Yes, convert to proceed.

What your new project looks like after conversion

The conversion creates a new project with the same title, client, due date, and owner as the opportunity. Events are created automatically based on the potential events defined on the Config tab.

If you used a project type template on the Config tab, the project also gets the project type, task list, and roles from that template applied automatically.

The opportunity shows a link to the project and the project shows a link back to the opportunity. Your team can navigate between them directly.

The events are ready to be dated and scheduled on the Schedule.

Conversion cannot be undone. If you move an opportunity to Won by mistake, the project will still be created. You can delete the project manually if needed.

FAQ

Can I convert an opportunity without setting up the Config tab first?

Yes, but the project will be created with no events. You will need to add them manually after conversion. Setting up the Config tab before converting is recommended so your events are ready straight away.

Can I undo a conversion?

No. Once an opportunity is converted to a project, it cannot be undone. If you converted by mistake, delete the project manually and move the opportunity status back to its previous stage.

What happens to the opportunity after it is converted to a project?

The opportunity stays in your pipeline marked as Won and remains linked to the project. It is not deleted or hidden. You can open it at any time to view the pricing, scope, and any files attached to the deal.

Do documents, comments, scope, and address copy across to the project?

Only if the checkboxes are checked during conversion. All three are checked by default. If you uncheck any of them before clicking Yes, convert, that content stays on the opportunity and is not copied to the project.

What if the project was already created before the opportunity was won?

Use the Link to existing project option on the Config tab before converting. This connects the opportunity to the project that already exists instead of creating a new one.
