Blocking time on the Schedule

How to use placeholders to block time for vacation, training, or other non-event activities.

Placeholders let you block time on the Schedule for activities that are not events, such as vacation, sick leave, training, or travel days. They appear as grey blocks alongside regular events.

Adding a placeholder

To create a placeholder on the Team Schedule:

  1. Click the + Add button at the top of the Schedule.

  2. Select Add placeholder.

  3. Fill in the required fields:

    • User: the person or vendor the placeholder applies to.

    • Description: a short note (up to 40 characters), for example "Vacation" or "Training".

    • Start date and End date: when the placeholder begins and ends. Time is optional and defaults to the full day.

    • Timezone.

  4. Click Save or Save & Add Another to create more.

The placeholder appears immediately on the Schedule.

Editing and moving a placeholder

To edit a placeholder, click on it to open the details drawer. Any changes you make are saved automatically.

You can also drag and drop a placeholder on the Schedule to move it to a different date, change its duration, or reassign it to another person.

Deleting a placeholder

To delete a placeholder, click on it, select the three-dot menu, and choose Delete.

Placeholders do not block event assignments. A person can have both a placeholder and events at the same time.

Permissions

Who can manage placeholders depends on your role:

  • Admin and Standard users can create, edit, and delete placeholders for all users.

  • Restricted users can only manage placeholders for themselves.

FAQ

Can a person have multiple placeholders at the same time?

Yes. You can have multiple placeholders active for the same person at the same time. They all appear on the Schedule alongside any assigned events.

Do placeholders affect event assignments?

No. Placeholders are informational only. They do not prevent you from assigning events to a person during the same time period.
