Files in Vantage are organized around your clients, projects, events, and opportunities. Every file lives somewhere in the hierarchy that matches where the work happens.
Two types of files
There are two types of files in Vantage:
Docs — documents, PDFs, spreadsheets, floorplans, risk assessments, and any other reference files. Attached to events, projects, clients, opportunities, and invoices.
Photos — site photos and images captured or uploaded by field teams. Live on the Photos tab of an event. Displayed in the Gallery for easy review and PDF export.
Where files live
Files sit inside the entity they belong to, on the Docs or Photos tab of an event, project, or client.
The folder structure is created automatically by Vantage and matches the hierarchy:
Client → Projects → Events → Photos / Docs
Client → Opportunities → files stored directly in the opportunity
Seeing files from across the hierarchy
Files attached at a higher level are automatically available lower down. On an event's Docs tab, three buttons appear at the top: Related project files and Related client files.
These pull in documents from the linked project and client so your field team sees everything relevant in one place, without anyone needing to copy files manually.
The Media page
The Media page in the sidebar gives you a workspace-wide view of all files, organized in a folder tree by client. Use it to find, download, or manage files across the whole workspace without opening individual events or projects.
Who can see files
Every file has a visibility setting defining who can see it. The four audience types are Full users, Assigned lite users, Assigned vendors, and Clients. Full users always see all files. The others can be controlled per file or set as workspace defaults.
