Every file in Vantage has a visibility setting that controls who can see it. You can set visibility for individual files at any time, making a file visible to fewer people than the workspace default, but not to more people.
The four audience types
Full users | Always on. Full users see all files regardless of visibility settings. This cannot be changed. |
Assigned lite users | Field installers assigned to the event. Visible by default for most file types. |
Assigned vendors | Vendors assigned to the event. Visible by default for most file types. |
Clients | Client contacts with Client Portal access. Hidden by default for most file types, except photos. |
Changing visibility on a file
Open the Docs tab of the event, project, or client where the file is.
Click the info icon on the file to open the detail panel.
Click the Visibility field and select or deselect audience types.
The change saves automatically.
You can make a file less visible than the workspace default, but not more visible. If a file needs to be visible to an audience that the workspace default excludes, the default itself needs to change first.
Photos and client visibility
Unlike documents, photos are visible to clients by default. To hide a specific photo from clients, open it from the Photos tab, click the info icon, and remove Clients from the visibility setting.

Yes. Any user with the right permission can add or remove the Client audience from a file. Other visibility options are only editable by Admin and Standard users.

No. Changing the workspace default only affects files uploaded after the change. Existing files keep their current visibility settings.

No. Vendors only see files on events assigned to them, and only when they are in the Assigned vendors audience. They cannot see files from other vendors or from events they are not assigned to.
