Media visibility

How to control who can see different types of files in your workspace.

Media visibility controls who can see your files by default. You can set your workspace defaults here, then override visibility for individual files whenever you need to.

Setting default media visibility

  1. Go to Workspace settings via the gear icon.

  2. Click Media.

  3. Use the Media visibility tab to set defaults for each file category and audience combination.

Visibility is set per file category and per audience type. The five file categories are: Events photos, Event docs, Project docs, Asset docs, and Client docs.

The four audience types are:

  • Full users — always on and cannot be turned off.

  • Assigned lite users — field workers assigned to the event.

  • Assigned vendors — vendors assigned to the event.

  • Clients — contacts with Client Portal access.

These settings apply to files uploaded after the change is saved. Existing files keep their original visibility.

Overriding visibility on individual files

The workspace setting is the default. Any file can have its visibility changed individually after upload, from the Docs or Photos tab of any event, project, client, or asset.

You can restrict visibility on individual files, but you cannot make them visible to more people than the default allows.

FAQ

Can a Lite user see project documents?

By default, no. The default visibility for project docs excludes Lite users. You can change this in the Visibility settings, or enable it on individual files.

If I enable Client visibility for event docs, do all clients see all event docs?

Only clients invited to the Client Portal can see files marked as visible to clients. And even then, they only see files linked to their own projects and events.
