Understanding the Attendance Tab

Overview: This section provides a detailed walkthrough of the Attendance Tab, a central hub for managing attendance-related information. When accessing the Attendance Tab, you'll find five distinct Reason Tabs: Present, Tardy, Dismissal, Absence, and Check-Out.

Attendance Reasons

The attendance system is designed with dedicated tabs for various attendance reasons, providing a convenient platform to modify and remove different reasons associated with attendance. The key tabs include:

  • Present Reasons: Indicates the reasons for being present.

  • Tardy Reasons: Tracks reasons for being tardy.

  • Dismissal Reasons: Records reasons for early dismissal.

  • Absence Reasons: Captures reasons for being absent.

  • Check-Out Reasons: Specifies reasons for checking out.

Adding New Reasons

Adding a new reason to any of the attendance tabs is a straightforward process. Users can simply click the "New" button, initiating the creation of a new reason with specific details tailored to the organization's needs.

Attendance Reason Details

Each attendance reason comes with detailed information, encompassing:

  • Reason Name: Describes the specific reason for attendance.

  • Roles: Specifies which roles will be presented with the reason when using the Kiosk (e.g., student or visitor).

  • Notifiables: Designates the person to receive notifications when the reason is utilized.

  • Starts: Displays the start time for the attendance reason.

  • Expires: Shows the expiration time for the attendance reason.

  • Created By: Identifies the creator of the attendance reason.

Actions

Users have the following actions available for each attendance reason:

  • Edit (Pencil Icon): Allows users to modify the details of the attendance reason.

  • Delete (Trash Icon): Enables users to remove the attendance reason.

Track Attendance Settings

The Track Attendance Settings section allows you to tailor the attendance tracking system to meet your organization's needs. Here's a breakdown of the available settings:

  1. Track Attendance Toggle:

    • Description: Activate or deactivate the overall attendance tracking feature.

  2. Require Reason for Attendance (Labs):

    • Description: Ensure individuals provide a reason when marking attendance. Useful for collecting additional information about why an individual is marking attendance.

  3. De-Duplicate Attendance (Labs):

    • Description: Update an existing attendance record if it's recorded within 15 minutes of the previous record. Maintain accurate attendance records by avoiding duplication when an individual mistakenly records attendance multiple times.

  4. Use Current Time For Attendance:

    • Description: Override reported or scheduled time with the current time when confirming attendance.

Parent Signatures

The Parent Signatures section allows you to collect parent signatures for student interactions. This feature ensures a record of parent acknowledgment for various interactions involving students.


​Student Guardians, Student Codes, and Scheduling via Mobile App

The following settings contribute to student and guardian interactions:

  1. Student Guardians:

    • Description: Enable guardian accounts to be linked to student accounts. This feature facilitates a connection between students and their designated guardians, enhancing communication channels.

  2. Student Codes:

    • Description: Enable students to link to guardian accounts via randomly generated secure codes. This feature ensures a secure and straightforward process of connecting students with their respective guardians. Additionally, guardians can sign up via the self-service sign-up page on campus.visitu.com/guardian.

  3. Scheduling via Visitu Mobile:

    • Description: Allow guardians to schedule student absences, tardies, and early dismissals conveniently through the Visitu mobile app. By activating this feature, you empower guardians with the ability to manage and schedule various attendance-related events on the go.

Customize these settings based on your organizational requirements to enhance the efficiency and accuracy of your attendance tracking process.
