Summarise a survey

Once all contributors have submitted their feedback the survey owner can summarise it. This means that the owner collates the submitted feedback, chooses which survey comments to include in the final report, adds their own comments, and has the option to override question scores if necessary.

The owner can close the survey and start summarising as soon as at least one contribution has been submitted, without having to wait for all feedback.

Close the survey for responses and click on Summarise feedback to get started. You can always re-open the survey for contributions as long as all the feedback hasn't been summarised. Once the survey has been summarised and and the report finalised you will not be able to re-open it again.

  • This will open a new window where you can choose to create an instant report with pre-selected options or go through the survey one question at a time and gain deeper insight before publishing the final report:

  • If you choose a 1-click report the survey will instantly be finalised and a PDF report generated. If you instead want to garner more insight into the contributors answers hit Summarise Feedback to load the feedback and begin the summary process:

  1. During the summary process you can star any comments that you wish to include in the final report. These will be included in both the in-app and the generated PDF report for the survey.

  2. During summary you can also add any of your own comments. These comments will always be included in the final report.

When you have finished reviewing a question click "Next" and repeat steps 1&2 until you reach the end of the summary.

  • All your actions are saved as you progress through the summary process. You can exit summary at any time and continue at a later stage. Your summary will reload with all your data intact.

You also have the option to override the response average if necessary. Please note that the average score will be marked as overridden in the final report and displayed alongside your required comment outlining the reason for the override.

When you have finished reviewing all the feedback click on End summarising to navigate to the Overview page where you can create the final report. Please note that you do not have to review every question to end summarising and create the final report. You can end summarising at any time, but we do recommend reviewing each question in order to create a comprehensive report:

  1. In the Scores and summary comments overview you can review the group average scores as well as your summary comments one last time.

  2. Any comments you have starred will appear in the "Starred comments" section. Here you can choose if you want to keep these comment public or private. If you chose to have the comment remain private users avatars and names will be hidden in the final report.

  3. You can add a final summary comment in order to, for example, comment on the results of the survey as a whole or share what insights this survey garnered. This comment will be included in the final report.

When you're satisfied click on Create Report to generate and publish the final report.

  • Now that you're all done your analysed results will be shown on the survey page and the final report will be available for users to view in-app or to download in PDF format.

  • In the final report you can gain valuable insights into your relationship, for example the perceived gap in quality between the customer and the supplier.

  • Detailed information and starred comments for every question in the survey will also be available to users who view the report:

Export Survey Responses as a .csv

Survey Creators will see a new option in their surveys that will allow them to download a CSV containing the answers to each question for every contributor that completed the survey.

The option to download the report is only available after the Survey has been summarised. Survey reviewer comments and group average scores are excluded from the CSV. What is exported is individual question responses.

    Link Survey to performance dataset

A great feature that Vizibl offers is the ability to link survey results to performance. This is configured in the survey template and when set up any results from questions linked to KPIs will automatically feed into the performance data for the relationship. You can of course disable disable these links if you do not wish to use your survey for performance monitoring. Simply click on the manage links button at the top of your survey:

This will open a window where you can view all the links for your survey and disable or enable them at will. You can even change which period you want to link the data to:

When the link is established the result from the survey will instantly feed into performance automatically. A link icon will also be displayed next to the performance score, clicking on this link icon will show everyone more info about where the data comes from as well as give users the option to navigate directly to the survey itself view it in full detail, if they have the necessary permissions to view the survey:

How can I see all responses from Contributors?

If you wish to view all the responses from a specific contributor in a Survey, simply navigate to the Contributors tab in a survey and click on View Responses for the contributor in question.

    • This will open a response overview window and you will then be able to see all the responses for that user:
