Where to start on Waalaxy?

A guide to where and how to start on Waalaxy.

Updated over a week ago

You are new to Waalaxy and you don't know where to start? No worries, we have written a step-by-step guide for you. Let us guide you. 🧭

πŸ§‘β€πŸš€ Step 1: Find and import your leads into the app

How do I find my leads?

The first thing to do is to know what you are looking for and how Waalaxy can help you.

Waalaxy is the tool that will allow you to prospect, but the method is up to you.

What is your need, and who do you want to reach?

Establish your persona

Your Persona is your "typical customer": the character who is most likely to be your potential buyer.

To establish your persona, you need to list certain characteristics and habits to fully understand who they are.

Once you have "found" this persona ➑️ you will know who to prospect.

🎁 To know who your Persona is, establish it, and understand it, I recommend you follow this guide.

Search LinkedIn for your prospects

LinkedIn is a goldmine for finding your customers. But there are so many people on this platform that you need to know how to find qualified leads.

To do this, you'll need to use LinkedIn's filters, or for the lucky ones among you, Sales Navigator's.

Import my leads

You can import in several ways on Waalaxy.

Here are all these ways πŸ‘‡

You can click on the import you are interested in, you will be redirected to a short tutorial-video.

LinkedIn

Sales Navigator

Recruiter Lite

CSV

Once the import is launched, you will be able to track it on Waalaxy and in your lead list.

Here are the reasons why you may have a difference between the number of leads you wanted to import and the number of leads that were actually imported:

  • Some of the people in your search were outside your network (relationships beyond the 3rd degree)

  • Some leads were already present in your interface (we automatically sort out duplicates),

  • Your search contained more than 1,000 results (for a standard LinkedIn search) or more than 2,500 results for a LinkedIn Sales Navigator search),

  • You had already exported on this search, so the search picked up where it left off

πŸ§‘β€πŸš€ Step 2: Run your first campaign

Introduction

You have your prospects in a prospect list. Now, you have to start prospecting these people.

This will be done through action campaigns from Waalaxy.

Here are the LinkedIn actions you can do:

Here are the other actions you can do:

Launch your campaign

Go to the "Campaign" tab and "Create a campaign" and choose a sequence.

How do I choose my sequence?

You can use the filters to select the actions you want to send. The tool will propose all the sequences that include these actions.

<a href="https://downloads.intercomcdn.com/i/o/658632503/504878803a74121a5c9ac5f4/2023-01-24_16h06_49.png" target="_blank" rel="nofollow noopener noreferrer">https://downloads.intercomcdn.com/i/o/658632503/504878803a74121a5c9ac5f4/2023-01-24_16h06_49.png</a>

You can also use the "Use Cases" proposed by Waalaxy, which are pre-made sequences that have been tested and proven to work for the stated need.

<a href="https://downloads.intercomcdn.com/i/o/658633206/a1e045f38df6e70f83e019cb/2023-01-24_16h07_31.png" target="_blank" rel="nofollow noopener noreferrer">https://downloads.intercomcdn.com/i/o/658633206/a1e045f38df6e70f83e019cb/2023-01-24_16h07_31.png</a>

Once you have chosen the sequence, you need to complete the steps one after the other.

  • Add the prospects by selecting them from your prospect lists. You can add everyone or only some by filtering or by playing with tags, for example.

  • Define the time you want between each action.

  • Launch the campaign. πŸš€

⚠️ If you notice a difference between the number of leads added and the number of leads in your campaign:

This means that the prospects you have added to this campaign do not match the chosen sequence. They are not eligible for it.

  • Invitation: Sequences that start with this action are reserved for prospects who are not yet part of your network (status Not Connected).

  • Message: This action is reserved for your 1st-degree relations on LinkedIn (connected status).

  • Message Request: This action allows you to contact prospects with whom you share a common Event or Group on LinkedIn or who are "Open to Work". This is a fairly specific use case, and you can find more details in this article.

  • Prospects who have already received a pending connection request (Status: Pending) are not actionable in a campaign until that invitation has been accepted.

🎁 To understand how a campaign works, I recommend reading this guide.

πŸ§‘β€πŸš€Step 3: Track your campaigns

You can then easily track your campaign by simply clicking on it.

You'll have access to 2 sections:

  • Leads,

  • Statistics,

The leads

This is where you can track the progress of your leads and their "status", i.e. where they are in the campaign.

They are listed with:

  • the current step they are at: the last action they are in at the moment.

  • the status: they are "in progress", "paused", for example...

<a href="https://downloads.intercomcdn.com/i/o/658637783/526764a546761505f551ef67/2023-01-24_16h12_28.png" target="_blank" rel="nofollow noopener noreferrer">https://downloads.intercomcdn.com/i/o/658637783/526764a546761505f551ef67/2023-01-24_16h12_28.png</a>

You also have access to the Overview, which shows you the number of leads stored at a given stage.

Statistics

It will give you access to statistics.

You will be able to see the number of actions sent over a given period of time, and by type of action.

You will also have access to your acceptance rate and your response rate.

πŸ§‘β€πŸš€ Step 4: Now that my campaign(s) are finished

A finished campaign appears with a red dot. This means that all the prospects have left the campaign and have received all the actions they were supposed to receive.

To know what to do after your first campaign, you can follow this guide. πŸŽ†

In the list of prospects, you can find all the prospects and, for example, tag them to know if they answered that they were not interested in your services or, on the contrary, that they are "to be called back" - that's up to your organization. 😊

You can also use the filters in the prospect list to identify the actions they received.

<a href="https://downloads.intercomcdn.com/i/o/658638774/f053113b2f1f793072c0bcc5/2023-01-24_16h13_50.png" target="_blank" rel="nofollow noopener noreferrer">https://downloads.intercomcdn.com/i/o/658638774/f053113b2f1f793072c0bcc5/2023-01-24_16h13_50.png</a>

You can then run a new campaign with these or other prospects.

πŸ§‘β€πŸš€ Everything you need to know to set up your campaigns properly:

Daily quotas

Quotas represent the maximum number of actions you can send each day. They are set by Waalaxy as a way to differentiate between subscriptions and to protect your account from LinkedIn's anti-spam detections.

They are independent for each type of action.

They are also independent within a team: if a member of your team sends actions, it doesn't take on your quota.

On the other hand, they are common to all your campaigns since they are counted at the level of the queue, where all your actions pass.

These quotas are reset to zero every day at a fixed time (you can see at what time by clicking on the type of action, on the right of the Queue). The values per week or month that you can find are for information purposes only πŸ˜‰

πŸ‘ Here are the quotas according to the type of action for the Advanced and Business plans:

  • Invitations: between 80 and 100 per day

  • Sending messages: between 100 and 150 per day

  • Profile follow-up: between 80 and 100 per day

  • Profile visit: between 100 and 150 per day

This number is 3 for the Freemium plan.

The Cloud

You must have a LinkedIn tab open, and your computer must remain turned on for actions to take place. This allows us to send requests from your account with the same IP address without putting your account at risk.

On the other hand, it is not necessary to have a Waalaxy tab open all the time. We just advise you to open it once a day to check that everything is running as you want πŸ˜‰

If you don't want to have to keep a LinkedIn tab open with your computer on, you can also use our Cloud feature, included in all paid subscriptions.

You can find more information in this article.

Days & Hours of Activity

You can set the days and hours on which Waalaxy will send actions.

You can do this from your Waalaxy settings > Account activities:
