Here's how to choose what Walkies sends to QuickBooks, and which QuickBooks items, accounts and payment methods it uses. You do this once, after you connect, and you can change it any time.
Open your QuickBooks settings
Tap the menu button on Home. On iPad, it's in the sidebar.
Under Company, tap QuickBooks. In the web app, go to Settings and choose QuickBooks under Company.
Scroll down to What to sync. The settings are below it.
Change what you need, and tap Save at the bottom.
Right after you connect, Walkies fills in every setting that has one obvious match in QuickBooks, like the Services item and Undeposited Funds. Check them all before you save. Nothing syncs until you do.
What to sync
Invoices and payments: clients, invoices, payments and refunds.
Credit notes: credit notes, and the credit you use on invoices.
Expenses: your business expenses.
At least one needs to be on. When one is off, its settings are hidden, and those records aren't sent.
Sales
Sales item: the QuickBooks product or service used for every invoice line, unless a service has its own item. It's required when invoices or credit notes are on.
Tax code for taxed sales and Tax code for untaxed sales: see How do I set up tax or VAT for QuickBooks?
Travel item, Tip item and Surcharge item: the items for travel, tips and surcharges on your invoices. Left as Not set, they use the sales item.
Discount account: where discounts go. Left as Not set, QuickBooks uses its own discount account.
Credit item: the item on credit notes. It shows when Credit notes is on, and uses the sales item if it's Not set.
Refund item: the item on refunds. It shows when Invoices and payments is on, and uses the sales item if it's Not set.
Items for each service
Each of your Walkies services is listed. Choose a QuickBooks item for any service you want to keep separate, like walks and boarding, so your QuickBooks sales reports split them. Services you leave as Default use the sales item.
Payments
Deposit payments to: the account your clients' payments and deposits go into. Undeposited Funds works well if you group payments into bank deposits in QuickBooks.
Refunds paid from: the account refunds come out of, usually your bank account. Refunds don't sync until it's set.
Payment methods
Each way your clients can pay you is listed: Walkies Pay, Bank transfer, PayPal, Venmo, Cash, Check, Zelle, Cash App and Other.
Tap a payment method.
Choose QuickBooks payment method to match it to one in QuickBooks, like Cash or Credit card.
Or choose Deposit account to send that method's payments to a different account, like your bank account for bank transfers.
Methods left as Default use the Deposit payments to account.
Expenses
Expenses paid from: the bank or credit card account you pay expenses from. Required when Expenses is on.
Payment type: Cash, Check or Credit card. It's Cash if you don't choose one.
Expense account: the QuickBooks expense account for every expense, unless its category has its own. Required when Expenses is on.
Accounts for each category: choose an account for any Walkies expense category, like Fuel or Insurance. Categories left as Default use the expense account.
Choosing from QuickBooks
Each setting only lists the QuickBooks records that fit it. For example, Deposit payments to lists your bank and current asset accounts.
Use Search at the top of the list to find one by name.
If you see "Nothing in QuickBooks fits here yet", add the item or account in QuickBooks, then come back to the QuickBooks screen in Walkies.
If you see "Choose the highlighted settings before saving", a required setting is empty.
Good to know
Changes apply to records sent from then on. Records already in QuickBooks aren't changed, unless you change them in Walkies too.
Saving retries any sync issues caused by a missing setting or tax code.
Only the account owner can see and change these settings.
