How does the QuickBooks Online integration work?

What Walkies sends to QuickBooks Online, who can set it up, and where to start.

Walkies can send your clients, invoices, payments, refunds, credit notes and expenses to QuickBooks Online for you, so your books stay up to date without typing anything in twice. Here's how it works, who can set it up, and where to start.

What it does

  • It's one way: Walkies sends records to QuickBooks. Changes you make in QuickBooks don't change anything in Walkies.

  • It's automatic: once it's set up, each new or changed record goes to QuickBooks within moments. You don't need to export anything.

  • What syncs: clients, invoices, payments and deposits, refunds, credit notes and the credit you use on invoices, and your business expenses. You choose which of these to send.

  • It's for your books only: QuickBooks doesn't email your clients. Walkies still sends their invoices and receipts the way it does now.

Who can use it

  • Plan: QuickBooks is included with Walkies Max. On other plans, the QuickBooks screen offers Upgrade to Max.

  • Who: only the account owner, the admin who owns the Walkies account, can see and set up QuickBooks. People you've made admin and team members don't see it.

  • QuickBooks: you need a QuickBooks Online company. QuickBooks Desktop isn't supported.

  • Currency: records sync in your QuickBooks company's home currency. Make sure it's the same currency as your Walkies company region.

Where to find it

  • iPhone, iPad and Android: tap the menu button on Home (on iPad, it's in the sidebar), then tap QuickBooks under Company.

  • Web app: go to Settings and choose QuickBooks under Company.

Setting it up

  1. Connect your QuickBooks company. See How do I connect QuickBooks Online?

  2. Check the items, accounts and payment methods Walkies suggests, and tap Save. See How do I choose where my records go in QuickBooks?

  3. If you charge tax or VAT, choose your tax codes. See How do I set up tax or VAT for QuickBooks?

  4. Turn off Automatically apply credits in QuickBooks if Walkies asks you to. See Why should I turn off Automatically apply credits in QuickBooks?

Nothing is sent to QuickBooks until you tap Save.

Once it's running

Good to know

  • Records from before you connected aren't sent. If you record a payment, refund or credit on an older invoice after connecting, Walkies sends that invoice too.

  • Your clients don't see anything different, in the Walkies Journal app or in their emails.

  • If your plan changes from Walkies Max, syncing pauses. Records keep waiting and are sent once you're back on Max.

  • Walkies keeps track of what it has sent, so a record is never added to QuickBooks twice, even if it's sent again.
