How do I set up tax or VAT for QuickBooks?

Choose the QuickBooks tax codes for your taxed and untaxed sales.

If you charge sales tax or VAT, here's how to tell Walkies which QuickBooks tax codes to use, so the tax on your invoices, credit notes and refunds matches Walkies in QuickBooks.

How tax is sent

  • Walkies works out the tax on each invoice from your Service tax %, in Menu > Invoices, and sends that amount to QuickBooks as the invoice's tax.

  • Services and surcharges are sent as taxed lines. Travel and tips are sent as untaxed lines, the same as on your Walkies invoices.

  • Discounts come off after tax, the same as in Walkies.

  • Credit notes carry their tax. A refund takes back its share of the invoice's tax.

Choose your tax codes

  1. Tap the menu button on Home. On iPad, it's in the sidebar.

  2. Under Company, tap QuickBooks. In the web app, go to Settings and choose QuickBooks under Company.

  3. Under Sales, tap Tax code for taxed sales, and choose the code for the tax you charge. In the web app, it's under Tax.

  4. Tap Tax code for untaxed sales, and choose the code for sales with no tax.

  5. Tap Save.

In the UK and other VAT countries

  • For Tax code for taxed sales, choose the VAT code with the same rate as your Service tax %, like 20.0% S for 20% VAT. Walkies suggests it when the rate matches.

  • For Tax code for untaxed sales, choose No VAT, or Exempt or 0.0% Z if that's right for your business.

  • Lines are sent with tax added on top (exclusive of tax).

  • Expenses are sent without VAT, using your Tax code for untaxed sales if you've set one. If you reclaim VAT on an expense, adjust it in QuickBooks.

In the US

  • For Tax code for taxed sales, choose the sales tax you charge. Walkies marks each line as taxable or not, and uses this code for the invoice's tax.

  • Tax code for untaxed sales is optional in the US.

If you don't charge tax

You can leave both tax codes as Not set. Invoices with no tax sync without them.

Good to know

  • An invoice, credit note or refund with tax can't sync until Tax code for taxed sales is set. It shows under Sync issues as "This record has tax. Choose a QuickBooks tax code for taxed sales." Saving your tax code sends it.

  • If QuickBooks works out a different total from Walkies, the record shows "QuickBooks worked out a different total. Check your tax codes." Check that your tax code's rate matches your Service tax %. Walkies never changes the amount to make it fit.

  • Ask your accountant if you're not sure which codes to use.
