What does Walkies send to QuickBooks, and when?

How clients, invoices, payments, refunds, credit notes and expenses appear in QuickBooks.

Once QuickBooks is connected and saved, Walkies sends each record to QuickBooks within moments of you adding or changing it. Here's what each Walkies record becomes in QuickBooks, and what happens when you edit or delete one.

When records are sent

  • New and changed records: sent as soon as they're saved in Walkies, on any device, including invoices Walkies creates for you, like automated invoices and ones made when a visit starts.

  • Before you connected: older records aren't sent. If you record a payment, refund or credit on an older invoice after connecting, that invoice is sent first, so the payment has something to go against.

  • If QuickBooks can't be reached: Walkies keeps trying for a while. If it still can't, the record shows under Sync issues.

  • The QuickBooks screen shows the Last sync time and how many records are waiting to sync.

Clients

  • A client is added to QuickBooks as a customer with their first invoice or credit note, with their name, email address, phone number and address.

  • Later changes to those details are sent too.

  • If QuickBooks already has a customer with the same name, Walkies doesn't merge them. It adds your client with a short code after their name, like "Sam Smith (a1b2c3)", so the two aren't mixed up.

  • Clients with no invoices or credit notes aren't sent.

Invoices

  • Each invoice becomes a QuickBooks invoice with the same invoice number, date and due date.

  • Each service is a line with its quantity and price, and the pets' names. Surcharges, travel and tips are their own lines, and a discount is a discount line.

  • The tax is the amount Walkies worked out. See How do I set up tax or VAT for QuickBooks?

  • Every invoice is sent, whether it's paid or not. Changes, like adding a walk, update the invoice in QuickBooks.

  • QuickBooks doesn't email the invoice to your client. Walkies still sends it the way it does now.

Payments and deposits

  • Each payment or deposit is added to QuickBooks against its invoice, with its date and amount.

  • It uses the QuickBooks payment method and deposit account you've matched to how the client paid, like Walkies Pay or Cash. Methods you haven't matched go to Deposit payments to.

  • Credit used on an invoice isn't sent as a payment. It's sent with the credit note instead.

  • Stripe's fees on Walkies Pay payments aren't sent.

Refunds

  • Each refund becomes a QuickBooks refund receipt, paid from your Refunds paid from account. A partial refund, and then the rest, are two refund receipts.

  • The invoice stays paid in QuickBooks, the same as in Walkies.

Credit notes

  • Each credit note becomes a QuickBooks credit memo, with its reason.

  • When you use credit on an invoice, the credit memo is applied to that invoice in QuickBooks. When you take it back off, it's unapplied.

  • If you void a credit note, the credit memo is reduced to what was already used. If none of it was used, it's set to zero, because QuickBooks can't void a credit memo.

  • If Walkies warns that QuickBooks applies credits automatically, see Why should I turn off Automatically apply credits in QuickBooks?

Expenses

  • Each expense becomes a QuickBooks expense that's already paid, from your Expenses paid from account to the account for its category.

  • The vendor and notes go in the description. Receipt photos aren't sent.

  • Changing an expense in Walkies updates it in QuickBooks.

Deleting and editing

  • Deleting something in Walkies never deletes it in QuickBooks. If it was already sent, it shows under Sync issues as "Deleted in Walkies after it reached QuickBooks". Delete or void it in QuickBooks yourself, then dismiss the issue.

  • Combining invoices deletes the original invoices, so each one that was already sent shows that issue, and the combined invoice is sent as a new one.

  • Changes you make in QuickBooks don't come back to Walkies. If you then change the same record in Walkies, Walkies sends its version again.

  • If you delete a record in QuickBooks that Walkies sent, the next change to it in Walkies shows "A linked record is missing in Walkies or QuickBooks."

Good to know

  • Turning off Invoices and payments, Credit notes or Expenses stops those records being sent from then on. What's already in QuickBooks stays.

  • Walkies keeps track of everything it has sent, so a record is never added to QuickBooks twice.

  • Only your QuickBooks home currency syncs. Records in another currency show "This record's currency doesn't match your QuickBooks home currency."
