Why should I turn off Automatically apply credits in QuickBooks?

Stop QuickBooks using credit by itself, so your books match Walkies.

If your QuickBooks screen in Walkies says "QuickBooks is set to apply credits automatically", here's what it means and how to turn that setting off in QuickBooks.

Why it matters

  • QuickBooks Online has a setting called Automatically apply credits, and it's on unless you've turned it off.

  • With it on, QuickBooks uses a client's open credit on their next invoice by itself, as soon as the invoice arrives from Walkies.

  • Walkies only uses credit when you choose to. So an invoice can show as paid with credit in QuickBooks while it's still unpaid in Walkies, and your books no longer match.

  • Walkies can't change this setting for you, so you turn it off in QuickBooks.

Turn it off in QuickBooks

  1. Sign in to QuickBooks Online.

  2. Select the gear icon, then Account and settings.

  3. Select Advanced.

  4. Under Automation, turn off Automatically apply credits.

  5. Select Save, then Done.

Check it in Walkies

  1. Tap the menu button on Home. On iPad, it's in the sidebar.

  2. Under Company, tap QuickBooks. In the web app, go to Settings and choose QuickBooks under Company.

  3. The note under What to sync is gone once Walkies sees the change. If it's still there, go back and open QuickBooks again.

Good to know

  • The note only shows while Credit notes is on, because it only affects credit notes.

  • To use credit on an invoice yourself, see How do I give a client credit? Walkies sends the credit to QuickBooks when you do.

  • If QuickBooks has already applied credit by itself, unapply it in QuickBooks so it matches Walkies again.

  • For more on how credit notes are sent, see What does Walkies send to QuickBooks, and when?
