How to cancel or edit an eBooking

Before dispatch, you still have the opportunity to cancel and in some cases to edit the shipment without restarting the eBooking process.

There may be times that after placing an eBooking you’ll notice you have selected the wrong date, have entered the cargo information incorrectly, and need to make a change, or that the option no longer suits you.

If the shipment hasn’t been dispatched, you still have the opportunity to cancel and start again and in some cases to edit the shipment without entering the cargo details again and running a new search.

First of all, expand the side menu and click on eBookings.

You can search using the company name, the AWB, the User name amongst other things by using the filters at the top of the list of eBookings, or simply find it by scrolling down to find the eBooking you want to alter from the list.

Once you’ve found the eBooking you want to edit or cancel, click on its corresponding row. This will take you to the eBooking summary page, where you can view all of the information about the flight and Edit eBooking or Cancel eBooking.

Editing your eBooking

In order to edit your eBooking click on Edit eBooking. You’ll be taken to the page to re-enter your shipping details if necessary.

Important: the editing capabilities depend on the airline. Some airlines require you to make a new dynamic rate search and then choose a new rate if the dimensions or date have changed.

Others will only allow you to make the changes to the weights and dimensions and save without choosing a new rate, and some do not allow you to make any edits at all. In this case, the Edit eBooking button will not be shown. Please contact us on ebooking.support@freightos.com for more information.

Once you have made the changes, click on the Update eBooking details button.

You’ll then be taken to the rate results page, which will show you new bookable options for the airline you’d previously booked with. Click on the rate card, then click on the blue Select button, on the lower right-hand side within the pop-up.

Once you’ve selected the new rate, you’ll be taken to the review page where you can then finalize and update the changes. Bear in mind that this new rate is also based on live rates and capacity, so it has a time limit of 5 minutes. You’ll be able to see this on the top right-hand side of the shipment details.

You’ll also have a disclaimer explaining that because the conditions have changed, the airline may need to confirm the new eBooking. Keep an eye on the eBooking page for updates.

Once you’ve checked the new details, click on Update eBooking. If all has been processed correctly, you’ll receive a message stating that the eBooking request has been updated.

The updated eBooking will be processed as a standard booking, therefore whether it’s accepted immediately or placed in a pending status until accepted will depend on the carrier.

Important: if you, one of your colleagues or the airline makes any changes to the eBooking, you will receive an email with the updated details shown.

Cancelling your eBooking

If you want to cancel your eBooking, go to the eBookings page as explained above by expanding the side menu.

Find the eBooking you want to cancel and click on it. Once the information has loaded, click on the Cancel eBooking button. If the departure date has passed, you will not see this button.

Important: Remember that each carrier has its own cancellation policy, which may include associated fees. You can find each airline's cancellation policy within the eBooking summary page, when clicking on the specific eBooking.

Once you’ve selected Cancel eBooking, you’ll be presented with a pop-up to explain why you want to cancel the eBooking. Select the option best suited to you and click the red Cancel eBooking button.

Once your cancellation has been processed, you’ll receive an on-screen confirmation.

You’ll see the updated eBooking status on the eBookings page.

Finally, in some cases, airlines do not allow editing after the eBooking has been placed, so you may need to cancel the eBooking and start again. You can duplicate the eBooking instead of entering the details again.

In order to do this, follow the above instructions, then head to the eBookings page and find the cancelled eBooking. When you’ve found it click the three horizontal dots next to it.

This will give you the option to duplicate the eBooking, which means that you can easily copy all of the details over to the search fields and search for a new option.

Processing a new eBooking with a previous AWB

In terms of using the AWB again that you had used for the cancelled eBooking, you will usually have to wait until you can use it again, depending on the carrier. In some cases, you can reuse it immediately, whereas others may require a waiting period, and some will not allow you to reuse them.
