How to add and manage your AWB stock

Add stock to your WebCargo account for eBookings, manage your stock, and add delegate stock for your agents to use

With WebCargo’s AWB stock feature, the need to enter AWB numbers manually when finalizing your eBooking is completely removed. Add the complete range of AWB stock to your WebCargo account to use when eBooking to make the process quicker and less manual.

As well as this, you can add stock for delegate shippers and use AWBs for offline eBookings. Watch the below video to find out more.

  1. How to add AWB stock by range

Once you're logged in, click on the Tools section, then select the sub-tab AWB management.

Here you'll find all existing AWB stock per carrier if you have any, as well as warnings if you or the carrier are low on stock.

Click on Add new AWB stock within the My stock tab.

A side pop-up will appear where you can add your AWB stock information. You’ll, by default, be shown the My Stock tab. This is where you add stock for your company’s personal use and eBookings.

You can choose to add stock by range, or one by one as individual AWBs.

Select the Carrier by entering the name and selecting from the list. The IATA of the carrier will appear in the greyed out area of the AWB number range. You’ll then need to enter the first and last AWB number from the range. The system will then automatically calculate how many AWBs there are, which will be reflected in the Total.

There is also an option to attribute the AWBs to a specific IATA number, but this is not compulsory.

2. How to add AWB stock individually

To add AWBs individually for stock, click on Individual AWB. From here, select the carrier and then introduce the individual AWBs one by one. If you have more than one, click on the Add new AWB stock button to add another row.

In the same way, shown above for a range of AWBs, you can also choose an IATA number that this AWB should be used for when making a booking.

3. How to add an alert for low stock

You can configure an alert to tell you when your AWB stock is low. This can either be an alert for low stock for the carrier, or can be low stock for the specific IATA (if the IATA number was entered earlier).

Enter the name and email address of the person who should be informed when stock is low.

Once you’ve entered your AWB stock, click Add AWBs. They should now be added to your list of AWB stock. Click on an airline row to view a breakdown of the stock information.

You’ll see the IATA number related to the AWB stock (if applicable), the number of AWBs left and the range of AWBs available.

4. How to use an individual AWB for an offline eBooking

If you want to use an AWB for offline eBooking, click on the Use AWB button.

A pop-up will appear with the AWB number and the option to Use AWB. Click on the paper symbol located to the right of the AWB number to copy it. Then paste it into your TMS or wherever you're using it.

Once your shipment has been confirmed elsewhere, click on Use AWB. The AWB will then be moved to the Used column.

All used AWBs can be found in the Used column and will not be removed automatically.

5. How to delete AWB stock

If you want to delete AWB stock because it has been incorrectly added, or has been used elsewhere, go to the My Stock tab. Find the airline which contains the stock you want to delete and click on its individual row.

You’ll be taken to another page where you can select the AWB that you want to delete. Select it by checking the box, and the Remove AWB(s) button will activate. Click on this.

Another pop up will appear, asking if you’re sure you want to remove the AWB(s).

Click on Remove and the AWB will be completely removed from your account. A message will appear showing that the AWB has been removed.

6. How to recycle unused AWB stock

If you used an AWB from stock for an offline eBooking and for whatever reason the shipment has been cancelled or the AWB has been unused, you can choose to recycle it to add to back to your stock. To do this, go to the Used section under the AWB Management section.

Find the AWB you want to recycle. Click on the corresponding box on the left hand. The Booking type should state Manual as it was used for offline eBooking. Once selected, scroll to the bottom and click on Move to recycled.

The AWB will then be moved to the Recycled column. Go to the Recycled column and select the row's corresponding box. The Move to my stock and Marked as used buttons will become active.

To move the AWB stock back to the My stock column, click on Return to stock. The AWB will now be available once more in the My Stock tab for the airline.

This cannot be reassigned to the delegate. To reassign, you’ll need to delete the AWB and upload it for the delegate. Keep reading to find out how to do this.

7. How to add AWB stock for delegates

The Delegate stock tab will appear if you are part of the delegate program, and you already have delegates configured. Learn more here about how to join the eBooking delegation program.

Within each airline section inside the Delegate stock tab, you’ll see the name of your delegate. Click on the delegate row, and you’ll see how much AWB stock your delegate has for each different airline.

If there is low stock for an airline, a yellow triangle symbol will show on the right-hand side of the row. To add more AWB stock for your delegates, click on the Add new AWB stock button.

The process is similar to the way you’d add your own AWB stock to your account. You can choose to add stock by range or individual AWB bills.

You’ll then need to select the delegate you want to assign the AWB stock to. Enter the name and select it from the dropdown.

Then follow the same process shown earlier to select the carrier and enter the AWB numbers.

The Low stock alert is per carrier and per delegate. So you can have different alerts for each delegate, e.g. you have different contacts that need to be notified.

In the same way shown earlier, you can recycle AWBs that haven’t been used but have been moved to the Used column for delegates. Notice how there is a separate column for Delegate, so you can see who this AWB was attributed to.

If you want to re-add the AWB in the Used tab, find the AWB, click on the box to the left of the column, then scroll down and click on Move to recycled. Once moved to the Recycled column, you can then select the AWB to move to your stock

Once moved to My Stock you cannot reassign it to the delegate. In order to re-add unused delegate stock which was previously moved to the Used column, you’ll need to delete the AWB and then re-add it under the Delegate stock tab.
