Using the Whippet Notes Mobile App

Download the App

  • iPhone: Search "Whippet Notes" in the App Store

  • Android: Search "Whippet Notes" in Google Play Store


How to Record

  1. Press the red record button to start

    • ⚠️ Important: Recordings must be over 30 seconds

  2. Once finished: Hit pause, then stop

  3. For Integrated Users: Select your clinic and appointment from the synced list

  4. For Non-Integrated Users: Add a patient name manually

  5. Press "Save & Upload" to process your recording

Upload Status

  • Green cloud icon = Successful upload and processing complete

  • Grey cloud icon = Internet connection issue

    • If you see a grey cloud, swipe left on the consult and press "Upload" to retry

  • Orange or Red cloud icon = Issue with recording


Viewing Your Notes

On the Mobile App

  1. Navigate to your consults via the bottom menu

  2. Select a consult to view:

    • Your transcript

    • Generated notes

    • Client letter

    • Billable items

  3. Press anywhere in the notes to start editing

On Desktop

  1. Sign in to app.whippetnotes.com/login on your web browser

  2. Once logged in, click "Open" on a consult to view your notes

  3. All your mobile recordings will be available on desktop too


Editing Your Notes

In-App Text Editing

  • Tap anywhere in the notes to edit with keyboard

  • Make changes directly in the note sections

  • Press save

Voice Editing with Dictation

Add details via voice by enabling dictation on your device:

iPhone/iPad Setup:

  1. SettingsGeneralKeyboard

  2. Toggle "Enable Dictation" ON

  3. When editing notes, tap the microphone icon on your keyboard

  4. Speak your additions clearly

  5. Tap "Done" when finished

Android Setup:

  1. SettingsSystemLanguages & input

  2. Virtual keyboardGboard

  3. Voice typing → Toggle ON

  4. When editing notes, tap the microphone icon on your keyboard

  5. Speak your additions clearly

  6. Tap microphone again to stop

Voice Editing Tips:

  • Speak punctuation: "period," "comma," "new line"

  • Use clear speech for better accuracy

  • Edit in a quiet environment when possible


Managing Your Notes

Share, Upload, Archive or Delete

Once you've selected a consult, you'll see action icons:

  1. Share Icon:

    • Share a PDF of your notes or client letters

    • Send via email, text, or other apps

    • Choose between clinical notes or client-friendly summaries

  2. Camera Icon:

    • Add images to your consultation record

    • Take photos of conditions, medications, or relevant documents

    • Images attach directly to the consult

  3. Archive Icon:

    • Archive completed consultations

    • Keeps your active list organised

    • Archived notes remain accessible but move out of main view

  4. Delete Icon:

    • Permanently delete consultation notes

    • ⚠️ Warning: This cannot be undone

    • Use archive instead if you might need notes later

  • Automatic appointment sync - your schedule loads instantly

  • Patient information pre-filled - select from your daily appointments

  • Seamless workflow - record, process, sync back to your VMS

Tips for Success

Recording Best Practices

  • Minimum 30 seconds - ensure your recording is long enough to process

  • Include relevant details - the more context, the better your notes

  • Check upload status - look for green cloud icon after saving

Troubleshooting Uploads

  • Grey cloud icon? Swipe left and press "Upload" to retry

  • Check internet connection - uploads require stable connectivity

  • Recording too short? Ensure recordings are over 30 seconds

  • Still having issues? Contact support with the specific error

Note: After 48 hours if your audio has been uploaded, it will be deleted from the App, this is to ensure there is enough space to keep it running smoothly.
