Overview

This article provides an in-depth guide to the additional permissions and settings available that you can give a Truck Pro. These permissions control access to key features such as being CC’d on leads, managing pricing, editing vehicle details, and viewing analytics, among others. Understanding how and when to enable these features is crucial for ensuring that the platform is configured according to your organizational needs.

Before You Start

  • This article refers to actions only accessible by Truck Pros with Sales Manager access.

  • Depending on your dealership's package level, there may be features described below that aren't accessible to you. Please contact your Customer Success Manager to discuss them.

Explore the options below for detailed steps on how to enable or disable these settings.

CC on Incoming Leads

The CC on Incoming Leads setting allows you to send any Truck Pro an emailed copy of every lead the dealership receives. When enabled, the selected Truck Pro will not necessarily be added to the lead rotation but will receive a copy of all incoming leads the dealership gets, keeping them informed without being part of the direct lead assignment process.

How to Enable or Disable:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile.

  • Here, you will select the “CC on Incoming Leads” section. (Image 1)

  • From the drop-down menu:

    • Select “Yes” to specify whether you want the Truck Pro to receive CCs on incoming email leads. (Image 2 below)

    • Select “No" if you do not want this Truck Pro to be CC’D on emails for incoming leads. (Image 2 below)

  • Click the checkmark to confirm.

Pro Tip: We recommend enabling this for team leads or newer Truck Pros who benefit from observing incoming communications.

Monthly Analytics Email

The Monthly Analytics feature automatically delivers performance reports that summarize sales, inventory, and customer engagement activity. This setting is available only to users with the Sales Manager role and is automatically enabled when that role is assigned. While the feature is turned on by default, you can disable it at any time if you prefer not to receive the monthly analytics email.

Note: If a Truck Pro is removed from the Sales Manager role, this setting will be turned off automatically.

How to Enable or Disable:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile that you want to edit.

  • Locate the “Monthly Analytics Email” section.

  • Disable or Enable this setting

    • You can click “Receiving Email” and uncheck “Yes” to disable this setting

    • You can click check "Not Receiving Email" to enable this setting.

  • Click the checkmark to save your selection.

Pro Tip: Encourage We recommend keeping this enabled so you can monitor monthly performance and identify opportunities for process or inventory improvements.

Prospecting Special Price Field

When enabled, the Prospecting Special Price Field allows a Truck Pro to add special pricing to their Prospecting messages. This is useful for offering customized pricing without changing the advertised price on a listing’s Vehicle Details Page. This setting will be automatically enabled when a user is assigned to the Sales Manager role, but can be turned on for Truck Pros in the Inventory Manager role or a regular Truck Pro user if needed.

Note: This will only appear if the your dealership has Prospecting enabled.

How to Enable or Disable:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile that you want to edit.

  • From here, you can locate the “Prospecting Special Price Field” section.

To Enable:

  • Click “Not Allowed” to open the pop-up window.

  • Check the box beside "Allowed" to enable the setting.

Confirm your choice by clicking the checkmark.

To Disable:

  • Instruct the dealer to click on “Allowed”, which opens a small pop-up window.

  • Have them uncheck the box beside "Allowed" to disable the Prospecting Special Price Field.

  • Confirm the choice by clicking the checkmark.

Manage Pricing

When enabled, the Manage Pricing setting will allow a Truck Pro to have access to everything within the "Edit Pricing" popup on Inventory Management.

Note: This setting will only be appear if a Truck Pro has Inventory Manager permissions.

Steps to Enable or Disable Manage Pricing:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile that you want to edit.

  • Locate the Manage Pricing section.

To Enable "Manage Pricing" permission setting:

  • Click “Not Managing Pricing” to open the pop-up window.

  • Check the “Yes” box to enable the setting.

  • Confirm your choice by clicking the checkmark.

To Disable "Manage Pricing" permission setting:

  • Instruct the dealer to click on “Managing Pricing,” which opens a small pop-up window.

  • Have them uncheck the “Yes” box to disable price management privileges.

  • Confirm the choice by clicking the checkmark.

Vehicle Edit Permissions

The “Vehicle Edit Permissions” setting allows you to control the level of access Truck Pros have when managing inventory listings. Depending on the assigned permission, Truck Pros can either edit existing listings or create and manage new ones.

  • Edit Listing:

    • Truck Pros with this permission can access Inventory Management and select Edit Listing from the Actions menu, allowing them to make changes to existing listings, such as adding notes or uploading photos.

  • Editing and Creating Listings:

    • Truck Pros with this permission level can make use of the “Create Listing” feature on Inventory Management as well as edit listings as described above.

Note: This will only appear if your dealership has Add/Edit Listing enabled for your site, and is only available to Truck Pros with Inventory Manager permissions.

Steps to Enable or Disable Vehicle Edit Permissions:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile that you want to edit.

  • Locate the Vehicle Edit Permissions section.

To Enable either "Editing" or "Editing and Creating" permissions":

  • Click the blue text under “Vehicle Edit Permissions” to open the pop-up menu.

  • Select the desired permission level:

    • “Editing”

    • “Editing and Creating”

    • Confirm your selection by clicking the checkmark.

To Disable Edit Listing or Edit/Creating Listing:

  • Guide the dealer to select “None” from the drop-down menu.

  • Confirm the choice by clicking the checkmark.

Send Daily Task Reminder

The Daily Task Reminder feature allows you to enable email or text reminders for a Truck Pro when they have Tasks that are due or that are past due. This is typically recommended to fill out when you add a new Truck Pro to the system, ensuring they are notified about their daily tasks. However, you can also make changes to this reminder at any time by accessing the Truck Pro’s profile.

Note: This setting will not appear if your dealership does not have the Tasks feature enabled.

Steps to Enable or Disable Daily Task Reminder:

  • Go to the Truck Pro Management page and open the individual Truck Pro’s profile that you want to edit.

  • Locate the Send Daily Task Reminder section.

To Enable "Daily Task Reminders":

  • Click the blue text under Send Daily Task Reminder where it says "None" to open the pop-up menu.

  • Select the preferred reminder method:

    • Email

    • Text

    • Both (ensure the Truck Pro has a phone number if using text)

    • Confirm your choice by clicking the checkmark.

To Disable "Daily Task Reminders":

  • Instruct the dealer to click the blue text under “Send Daily Task Reminder” to open the pop-up menu.

  • Have them select “None” from the drop-down menu.

  • Confirm the choice by clicking the checkmark.
