How to Add Vehicles to a Customer's Fleet

Add vehicles to a customer's fleet by VIN or manually, including optional cycle strategy.

Record the vehicles a customer already runs on the Fleet tab — whether they bought them from you or not — so you can plan replacements and stay ahead of the next purchase.

Before You Start

  • Plan/Package: Requires the CRM add-on. The Fleet tab doesn't appear with limited customer management.

  • Role & Permissions: Salespeople can do this for their own customers. Sales Managers and Admins can do it for any customer. Analytics and Inventory Manager users can view customers but can't make changes. See User Roles and What Each Can Do.

  • Before you begin: The customer record must already exist.

Steps to Add a Fleet Vehicle

Step 1: Navigate to the Customer Record

  • Click Customers in the left-side navigation, then click the customer you'd like to add vehicles to. You can search by name or use filters to find the customer record if needed.

Step 2: Open the Fleet tab

  • Once the customer record is open, click the Fleet tab.

Step 3: Start adding a vehicle

  • Click Add vehicle. Choose Add via VIN or Enter details manually.

Option A: Add via VIN

  • Enter the 17-character VIN and click Decode VIN.

  • On We found your vehicle!, verify the details are correct and add any additional information you have, then click Add to inventory to save it to the fleet.

Option B: Enter details manually

  • Enter Year, Make, Model, Body type, Body manufacturer, and Mileage as known. Optionally turn on Add cycle strategy (based on Time or Mileage). Click Add to inventory.

What cycle strategy does: record the vehicle's original in-service date and a replacement interval (for example, 72 months or a mileage target). The cycle strategy is saved on the fleet vehicle as a planning reference, so when you review a customer's Fleet tab you can see which vehicles are approaching replacement and start that conversation before the customer's next planned purchase or lease end date.

Note: The button on the pop-up reads Add to inventory. This adds the vehicle to the customer's fleet, not to your dealership's inventory.

Good to Know

  • Cycle strategy is a reference you check, not an alert. It doesn't send reminders or notifications. Make a habit of reviewing your customers' Fleet tabs so you can see which vehicles are nearing their replacement interval.

  • Cycle strategy has to be turned on and set manually when you add or edit a fleet vehicle — there's no automatic prompt to set it after a deal is marked Delivered.

  • Keep mileage current. A vehicle's mileage doesn't update on its own — it stays at whatever you entered. Check in with your customer periodically and update the mileage on the Fleet tab, especially for vehicles with a mileage-based cycle strategy.

Conclusion

Fleet units stay on the customer record so you can spot replacement timing before a competitor does.
