How to manage service providers

This article explains how employers can invite a migration specialist or service provider to access their Workinitiatives employer account.

What is a service provider?

A service provider is a professional or organisation you invite to access your Workinitiatives employer account.

This may include a migration specialist, migration agent or migration lawyer who helps you with:

  • job advertising

  • Labour Market Testing information

  • reviewing job ads

  • managing migration-related job ad records

  • downloading LMT history or reports

  • supporting employer-sponsored visa processes


How to invite your migration specialist to your Employer account

Are you looking for an easier way to manage your job ads and Labour Market Testing information? Look no further! You can invite your migration specialist to your Employer account. This means they will have access to your account and can help you manage your job ads and Labour Market Testing information.

Here is a quick video on how you can grant access to your migration specialist if they have invited you to the Workinitiatives platform:

Alternatively, if you would like to send an invitation to your migration agent simply follow these easy steps:

1. Open Manage Service Providers

From the left-hand menu, select: Manage service providers

This will open the All service providers page. From this page, you can view existing service providers, check their invitation status, and revoke access if required.

2. Select Invite Service Provider

On the All service providers page, select: Invite service provider

This will open the invitation form.

3. Enter the service provider details

Complete the required fields in the invitation form.

You may need to enter:

Field

Description

Service provider name

The name of your migration specialist or service provider

Service provider email

The email address where the invitation should be sent

Role

The access role assigned to the service provider

The role may default to Owner depending on the available access settings.

4. Send the invitation

Once the details are complete, select: Send Invitation


What happens after the invitation is sent?

After you send the invitation, the service provider will appear in your service provider list.

You may see information such as:

Column

What it shows

Service provider name

The name of the invited provider

Service provider email address

The email address used for the invitation

Invited on

The date the invitation was sent

Status

Whether the invitation is accepted, pending, or another status

Action

Options such as revoking access

Once the service provider accepts the invitation, their status may show as Accepted.


How to revoke service provider access

If you no longer want a service provider to access your account, you can revoke their access.

To do this:

  1. Go to Manage service providers.

  2. Find the service provider in the list.

  3. Select Revoke Access.

  4. Confirm the change if prompted.

Once access is revoked, the service provider should no longer be able to access your employer account.


If your service provider did not receive the email

If your migration specialist or service provider has not received the invitation email within a few minutes, ask them to:

  • check their junk or spam folder

  • confirm the email address was entered correctly

  • check whether their organisation blocks automated emails

  • search their inbox for emails from Workinitiatives

If the email still cannot be found, you may need to revoke the invitation and send a new one. Otherwise, please contact our support team via Chat bot on the right hand side or via email: support@workinitiatives.com.au to trouble shoot this with you.


Best practice tips

Confirm the correct email address

Before sending the invitation, check that the service provider email address is correct.

An incorrect email address may send access to the wrong person.

Only invite trusted providers

Service providers may be able to access sensitive job ad and account information.

Only invite a migration specialist or service provider you have authorised to support your account.

Review access regularly

If you stop working with a migration specialist, revoke their access from the Manage service providers page.


Troubleshooting

I cannot see Manage Service Providers

Check that you are logged in to the correct employer account.

If you still cannot see the option, contact support.

My migration specialist did not receive the invitation

Ask them to check their junk or spam folder.

Also confirm the email address was entered correctly.

My migration specialist already has an account

They can use the invitation email to log in with their existing account and accept your invitation.

I invited the wrong person

Go to Manage service providers and revoke access if available.

Then send a new invitation to the correct email address.

I want to remove a service provider

Go to Manage service providers, find the provider, and select Revoke Access.

My service provider cannot access my account

Check that their invitation status is Accepted.

If the status is still pending, they may need to accept the invitation from their email.
