Your platform allows you to request additional information from candidates directly within their profile.
This guide explains how to request information, where to view pending requests, how to check a candidate’s progress, and what happens once a candidate completes a request.
When to request information from a candidate
You may need to request information when a candidate’s profile is incomplete, outdated, or missing details required for review.
For example, you may request information such as:
family name
given name
preferred name
phone number
gender
identity details
contact details
work experience
education details
licences or registrations
skills
languages
preferences and expectations
documents
The available request options may depend on the candidate profile section you are reviewing.
Open a candidate profile
To request information from a candidate:
Go to the left-hand menu.
Select Candidates.
Find the candidate you want to review.
Select the candidate’s name to open their Candidate Details page.
You can also open the profile from the Action menu if available.
Request information from a candidate
From the Candidate Details page:
Select Request Information.
The Request Information window will open.
Use the dropdown menu to select the information you need the candidate to provide.
Select one or multiple fields as required.
Select Request Information to send the request.
Once sent, the candidate will be notified that additional information is required.
Select the Information You Require
The Request Information – Basic window will open.
From the dropdown menu, select the information you want the candidate to provide. This may include items such as:
Family name
Given name
Preferred name
Phone number
Gender
You can select one or multiple fields as required.
Once selected, click Request Information to send the request.
What happens after you send a request?
After the request is sent:
the candidate receives a notification
the requested item appears as a pending task on the candidate’s profile
the request is tracked in the platform
the candidate can complete the request from their portal
you can monitor whether the request is pending or completed
This helps you collect missing information without needing to manually follow up outside the platform.
View candidates with pending requests
To view candidates who have outstanding information requests:
Go to Candidates.
Select the Pending requests status bucket at the top of the page.
This filters the Candidates List to show candidates with information requests waiting to be completed.
Check a candidate’s pending requests
To check what information is still pending:
Open the Pending requests status bucket.
Select the candidate you want to review.
Open their Candidate Details page.
Review the pending request section at the top of the candidate profile.
This section shows which information has been requested and whether it has been completed.
This allows you to track progress without needing to follow up manually.
What Happens When a Candidate Completes a Request
When a candidate completes a requested item:
the information is automatically updated in their profile
the request status changes from Pending to Completed
the candidate’s status may update based on their progress
you can review the updated information from the Candidate Details page
If platform notifications are enabled, you may also see notifications related to completed requests.
Manage completed or incorrect requests
From the candidate profile, you may see options next to the request.
These may include:
Option | What it does |
Completed | Takes you to the updated section so you can review the information |
Speech bubble | Shows the instructions you provided to the candidate |
Resend request | Sends the request again if the candidate did not complete it correctly |
X / remove | Removes the request if it is no longer required |
Use these options to keep the candidate profile clean and up to date.
Resending a request
If the candidate completes the request incorrectly, you may be able to resend it.
To resend a request:
Open the candidate profile.
Find the relevant request.
Select the speech bubble or request option.
Review the instructions you previously provided.
Resend the request if needed.
This allows the candidate to correct or update the information.
Removing a request
If the information is no longer required, you can remove the request.
To remove a request:
Open the candidate profile.
Find the pending or completed request.
Select the X option.
Confirm the request is no longer required, if prompted.
Removing a request helps keep the candidate profile focused only on required information.
Best practice tips
Request only what you need
Only request information that is required for the candidate’s review, qualification, or next step.
Be clear with instructions
If you provide instructions, keep them specific so the candidate understands exactly what they need to complete.
Check pending requests regularly
Use the Pending requests status bucket to monitor outstanding candidate tasks.
Review completed information before progressing
Before marking a candidate as pre-qualified or job ready, check that the completed information is accurate and suitable.
Troubleshooting
I cannot find the Request Information button
Open the candidate’s profile from the Candidates section.
If the button is not visible, check that you have the correct access permissions for candidate management.
The candidate has not completed the request
Go to Candidates > Pending requests to confirm the request is still outstanding.
You may need to message the candidate or resend the request if they have not completed it.
The candidate completed the request incorrectly
Open the request details and resend the request with clearer instructions.
You can also message the candidate if further clarification is needed.
The request is no longer needed
Use the X option to remove the request from the candidate profile.
I cannot see the updated information
Select the Completed request to navigate to the relevant profile section.
If the information still does not appear, refresh the page or contact support.
Any platform notifications related to completed requests will also be displayed.
