Messaging candidates

This article explains how to message candidates directly through the platform.

Your platform allows you to communicate with candidates directly. You can access messages in two ways:

  • From an individual candidate’s profile

  • From the Messages section in the main menu

This guide explains both options and how to start a conversation.


Messaging a candidate from their profile

You can message a candidate directly from their Candidate Details page.

To do this:

  1. From the left-hand menu, select Candidates.

  2. Find the candidate you want to contact.

  3. Open the candidate’s profile by selecting their name or using Action > View Details.

  4. On the Candidate Details page, select Message in the top-right corner.

This will open the conversation thread for that candidate.


Sending a message from the candidate profile

Once the message window opens, you can:

  • view any existing messages with the candidate

  • type your message into the message field

  • send your message directly through the platform

  • attach a file if the attachment option is available

All messages sent through this area are saved in the platform conversation history.


Accessing messages from the main menu

You can also manage candidate conversations from the Messages section.

To open Messages:

  1. Go to the left-hand menu.

  2. Select Messages.

This will open the Messages page, where you can view and manage candidate conversations.

On the Messages page:

Allows you to start a new candidate conversation

To view a conversation, select the candidate from the conversation list on the left-hand side.


Starting a new message

To start a new conversation from the Messages page:

  1. Go to Messages.

  2. Select New message in the top-right corner.

  3. Choose the candidate you want to contact.

  4. Type your message.

  5. Send the message.

Once sent, the conversation will appear in your message list.


Best practice tips

Keep messages clear and professional

Use messages to provide helpful updates, ask for missing information, or explain next steps.

Use candidate names where possible

This helps keep communication personal and easy to follow.

Keep important information in the platform

Messaging through the platform helps keep a record of candidate communication in one place.

Check existing conversations first

Before starting a new message, check whether there is already an existing conversation with the candidate.


Troubleshooting

I cannot find a candidate conversation

Go to Messages and check the conversation list.

If you cannot see the conversation, open the candidate’s profile from Candidates and select Message.

I cannot message a candidate

Check that the candidate exists in your Candidates list and that you have access to their profile.

If the issue continues, contact support.

I started a message but cannot see it later

Go to Messages and search the conversation list for the candidate.

Messages sent from a candidate profile should also appear in the Messages section.

I need to send supporting documents

Use the attachment icon in the message field if file attachments are available.
