How to Send Offer Letters via Workinitiatives

As part of our Applicant Management System, you can now send offer letters and contracts directly through Workinitiatives. In this article, we will walk through the journey of sending a Letter of Offer to an Applicant.

No more printing, signing, and scanning documents. With our new feature, you can streamline the hiring process and save time for both you and your candidates.

How to Review Applicants

To access this feature, navigate on the Menu to Jobs and Job Ads, select the Ad you are currently reviewing applicants for and you will see new columns to categorise your applicants.

Work through your pool of applicants and narrow these down with the options to "Mark as Shortlisted" or "Reject" the person.

Once you have shortlisted your candidates and move through the hiring process of interviewing these candidates. You've now got a candidate that has passed the interview process and you are going to send them an Offer letter for the role.

How to Send an Offer to an Applicant

The applicants that you have marked as shortlisted will appear in the category Shortlisted and from here is where you have new action items to Send Offer, Send Contract or Reject those candidates that didn't pass the interview stage.

When you select Send Offer a new modal opens for you. If this is your first time, you will not have an existing offer letter template available. You'll select Upload New and choose a template from work computer.

NOTE: Once you have uploaded a template offer letter above, this will be saved as an existing template that can be used for future candidates.

How to Edit your Offer Letter before Sending

When you have uploaded a new offer letter as a template from your computer, this opens the edit screen where you can insert macros to pre-populate data before sending this to your successful applicant.

Once you've added the macros to your template, select Save and Continue to move on to the next step of finalising your Offer before sending it to the candidate.

Otherwise, if you need to pause and come back to this, select Save Draft and you can come back to this offer template and resume the process at any time.

How to Finalise your Offer Letter and Send it to the Applicant

You've now progressed to the next step, here is where you can finalise the Letter of Offer before sending it to the applicant.

You will see the template from the previous step has come through and those macros has populated your candidates information.

TIP: I recommend you zoom out of the form to see all the information on the screen!


Manage Recipients

In Manage Recipients, you can add multiple signature fields. Ie. the candidate to receive and sign first and then send to the secondary person being the Employee Manager.

You also can CC in another person ie. HR Manager if needed and they will receive a copy when all parties have agreed and signed.


Adding fields into the document

Once your Recipients are configured, you can add additional fields to be completed by those recipients like a Signature field, Date and Time, Text field can be used to capture name etc.

NOTE: If you have missed any information or the template has the wrong information and you need to edit the template, you will need to exit this screen, and will bring you back to your template to make those changes.


Sending an Offer to an Applicant

You've finalised your document and added in the additional fields ready to send your Offer to the Applicant. Now you can select Invite to Sign the document.

This action opens the send invite modal where you must Customise Message that recipients will receive.

Here, you will add in your email Subject line and body of the email the applicant receives.

Follow the same steps for any additional recipients like managers that you've added.

When complete, Send invite to first recipient. You will receive a success message on screen and be taken back to the Workinitiatives applicants screen and you will see that this employee has now changed to Offered.

At the end, both parties (including any CC's if they were added) upon signing will receive a copy via email and your candidate will show as Offer Accepted in Workinitiatives.

From here, you will move on to the next step in your recruitment process, you can download a copy of the signed document via the actions menu, or you progress to the next step of Send Contract via the system.
