Every video you upload to Xperiencify is stored in your Media Gallery and counts toward your account's storage. Two tools make it easy to keep your storage under control:
Download all my videos gives you a copy of every video stored in your account with a single click.
Bulk delete in the Media Gallery lets you select many files at once and remove them together.
Table of Contents
Download All Your Videos
This collects every video you have stored with us, including lesson videos, live replays, and anything in your Media Gallery, and packages them into .zip files organized by course and lesson.
To request your videos:
Log in to your admin account and open the
Accountpage from the sidebar.Scroll to the
Your current plansection and findYour videos.Click
Download all my videos.
What happens next:
The page will show a progress message like "We're getting your videos ready (1 of 3 files done)." You can leave the page while this runs.
When your files are ready, we send an email to your account email address with download buttons. The same buttons also appear on your Account page under
Your videos. Each button downloads one .zip file. Double-click the .zip file on your computer to open a folder containing your videos.
Large libraries are split into parts of about 10 GB each, so you may see several buttons such as
Download part 1 of 3,Download part 2 of 3, and so on. Download every part to get your complete library.Download links work for 7 days. The exact expiry date is shown next to the buttons. After that, you can request a fresh copy by clicking
Download all my videosagain.
đ Note: Videos hosted on YouTube, Vimeo, or other outside services are not included, because they are not stored in your Xperiencify account. Only videos uploaded directly to Xperiencify are collected.
Delete Files in Bulk From Your Media Gallery
Deleting files you no longer need is the fastest way to reduce your storage. You can now select many files at once instead of deleting them one at a time.
To delete files in bulk:
Open
Media Galleryfrom the sidebar of your admin account.Use the
Video,Images,Files, andAudiotabs to filter to the type of file you want to review. Video files are usually the largest, so start there.Click the
Sizecolumn header to sort your files by size and find the biggest ones first.Tick the checkbox next to each file you want to delete. To select every file on the current page, tick the checkbox at the top of the list next to
File name.Your selection is kept as you move between pages, so you can select files across multiple pages before deleting.
Click
Delete selectedat the top of the gallery. The button shows how many files you have selected, for exampleDelete selected (4).A confirmation window shows how many files and how many GB will be deleted. Click
Deleteto confirm, orCancelto go back.
Check before you delete:
Each file in the Media Gallery now shows where it is used, for example "Used in lesson "Budget" (Money Basics)" or "Used in replay "Live Q&A" (Money Basics), course "Money Basics" and 1 more." Files with no label are not used anywhere in your courses.
If any file you selected is still used in a course, the confirmation window tells you which files and where. After deleting, the video will stop showing in that lesson or replay.
Deleting a single file with the trash icon works the same way and shows the same warning if the file is still in use.
Deleting cannot be undone. If you want to keep a copy of anything, use Download all my videos first, then delete.
How Your Storage Meter Updates
Your storage meter updates within 48 hours of deleting files. It will not drop the moment you delete something, so if you are working toward a storage target, delete your files early rather than waiting until the last day.
Deleting a lesson does not free up storage. Removing a video from a training, or deleting a training or course, leaves the video file in your Media Gallery. To reduce your storage, the file must be deleted from the Media Gallery itself.
The one exception is videos uploaded before February 2024. The Media Gallery was introduced in February 2024, so videos uploaded before then are not in it. For those videos, open the training where the video lives and download or delete it directly from the training. Deleting an older video from the training does free up your storage, because there is no copy in the Media Gallery.
Important to Know
Only videos uploaded directly to Xperiencify count toward your storage and are included in your download. Videos embedded from YouTube, Vimeo, or other services are not stored in your account.
Your download links expire 7 days after they are created. If you miss the window, click
Download all my videosagain to generate a new set.Bulk deletion is permanent. Once the confirmation is accepted, the files cannot be recovered.
Any video still used in a course will stop playing there once it is deleted from the Media Gallery, so re-upload or replace it if you still need it in your training.
