General Ledger Templates

What are GL codes for and how to create them

A general ledger is a file comprised of the revenue groups used to record the business transactions of an organisation. The general ledger has a specifically-defined template, which is used to organise revenue group transactions. 

General Ledger Templates are assigned to rental and sale products, services, and surcharges.

Get Started

Head to System Setup > General Ledger Templates to add or change your General Ledger Templates.

System General Ledger Templates

We have created some system General Ledger Templates with assigned Revenue Groups when you sign up for OnRent:

  • Maintenance General Ledger - This General Ledger template is to organize the transactions for maintenance charges  

  • Revenue General Ledger - This General Ledger template is to organize the transactions for rental charges  

  • Service General Ledger - This General Ledger is to organize the Additional Service charge revenue

  • Transport General Ledger - This General Leger template is for the Transport Revenue in the business

Add new General Ledger Templates

To add new General Ledger Templates, go to System Setup > General Ledger Templates and click the blue Add GL Template button.

  • Name - Enter a name for your GL template

  • Description Specify a description for your reference

  • Assign Revenue Groups - Assign a revenue group to each category of the GL template to organise your revenue group transactions

Edit a GL Template

To edit a General Ledger Template, find it in the list and click the name of the revenue group and this will take you to the edit page.

Delete a GL Template

To delete a GL Template, find it in the list and click the bin icon to the right of it. A pop up will appear to confirm you would like to delete this, simply select Yes. 

Note: You cannot delete a GL Template when referenced by a Product, Service or Surcharge. 

Assign General Ledger Templates to Products, Services & Surcharges

Now you have created your GL Templates, you can assign them to specific Products, Services or Surcharges. 

Navigate to a Product, Service or Surcharge and select the required GL template from the list. When you have finished simply select update or add.
