How to choose which partners can see what data in Reveal

Overview

  • In this article, we'll review how to select which data will be shared with select partners on Reveal, keeping you firmly in control of your data and who can see it.

Why?

  • Once you connect a data source to Reveal, set your Status Rules and assign which partners can see your data, you can further restrict/direct your information on a partner-by-partner basis to further select which data source you'd like to share, whether or not you would like to share Account Overlaps and New Prospects, custom fields from your data source, and Field sharing for contact and deal information.

How?

When you connect with a new partner on Reveal, you will see a tile like the one below appear on your Partner Homepage:

You can modify the sharing rules for each partnership by selecting the settings wheel in the upper righthand corner of the tile (pictured above).

Once you do so, click the tab on the top of the screen next to "overview" that says "Sharing Settings":

You'll notice that the sharing settings toggles are all automatically turned to the off position- You do not share anything with anyone on Reveal by default.

In order to share Account Overlaps and New Prospects with your partner, simply click the corresponding toggles to the "on" Position.

πŸ’‘ It is important to note that the check box on the right labeled "only common customers" is a LIMITATION rather than a permission. It restricts the data being shared to only those accounts that are identified in both data sources as "customers", and thereby limits the amount of accounts that will be present in your shared account map.

Next, you can assign which fields you'd like your partner to be able to see, those being the Account Owner information (whether you'd like them to see just the Account Owner name, name and contact information, or nothing at all) and what your partner is sharing with you.

Additionally, you can select whether or not to only share opportunities that have an open deal in your CRM by clicking the box next to "Add field" on the lower right side of the section.

πŸ’‘ Be sure to hit the purple "Save" button in the upper righthand corner of the page once these items are selected and you have identified what you would like your partner to be able to see in order to save your changes.

Lastly, by selecting the tab at the top of the screen labeled "Data Sources", you may select which data sources you'd like to share with this particular partner, if you have multiple.

πŸ’‘ If you only have one data source connected, it is advisable to ensure that it is selected for each new partner you add on Reveal, as without this express permission, you will not be able to map accounts with this partner.

πŸ’‘ If you restrict accounts or only share common customers - it will ONLY be reflected when you view the detailed account mapping and NOT when looking at the overview

If you have multiple and would like to share only a select number of them with your partner, you may select more than one here as well.

πŸ’‘ Remember to hit the "Save" button again once your desired data source has been selected!
