Processing Online Registrations

We’ll start at the Registrations Received Tab….Make sure the registration is complete and students have Pending Class Registrations.

Select Process and you will be taken to the Account tab.

If the account status is Inactive, you will ballowedon tactivate the accountnt.

Once the account is Activated the status is automatically updated.

Here you can review all the Account information. Use the arrows to open the sections for review and/or any updates that you need to make.

Under Information,, you can verify that the account is subscribed to receive texts, account status, and tuition calculation. If your studio uses Manual tuition, you will enter the tuition amount here.

Please make sure you Save Changes before you leave the tab. One thing of note, the copy changes to option!!

Because I’m utilizing the Copy changes option I will go directly to the Payment Info tab to review the credit card information the parent has submitted.

The Save History tab will allow you to view the history of the credit card entry including the time and date the card was entered.

Now we can review the student information. I’ve chosen to minimize the Contact information and go directly to Details.

Again, any changes you make please make sure you Save Changes. Under the Student Information, you’ll also view the Requested Classes. You can easily Approve All Classes by clicking the +Approve All or you can select by individual class. Once the classes have been approved, they are moved to Enrolled Classes. So if you approve a class in error, just scroll down!!. Individual class selections allow you to Waitlist a student and reject the classes. You will also be alerted if the registration period has closed and/or if the student is out of the class age range.

For accounts with multiple students use the Next button (look to the right of the Students tab) and you can move on to the next student listed under that registration.

Once all class selections have been made, you can review the other sections at your discretion in the order that you like. Once all student information has been reviewed you’re ready to go to the Registration Complete tab. This tab will allow you to create charges, send a confirmation and also review the Account Balance, and process payments

Once the Class Confirmation has been sent and if you have no other changes or updates to make you can now mark the Registration Complete (if you charge Registration, Tuition, or any other upfront charges, see below) Selecting the Registration Complete, will not automatically complete the registration. You are now able to review the account and student name. If there are any unprocessed classes, you will be made aware. And the Complete registration box must be checked first and then you can select Complete Registration,

The registration is completed and you will be taken to the next registration.

How to Create Charges During Registration:

The Registration Complete tab will allow you to create and process payments while registering students. This option along with requiring a credit card to register will mean you don’t have to chase parents down for payments.

To enter a charge use the arrow to open the section, select the date, and what type of charge you want to create (tuition, registration, costume, etc). If you have multiple charges to create I suggest leaving the Charge Kind as “All”. This way the Cdrop-downe drop-down will show all available Charge codes you have created.

After you have made your charge code selection you can update the description if you’d like. You can also override any amount that Akada calculates for you. If you change the amount, you will be given the “reset to default option. Once you have entered/update the charge(s) select Enter Charge.

The Charges Being Paid and Enter Payment tab will automatically open. If you are only creating the charges select “Don’t Pay this Charge”. Once a charge has been created you will be able to see it listed under the Open Charges section. Open charges here only list charges that you created while registering the account. To view other unpaid balances, you will need to go to the Account’s Transaction page for a full list of charges.

If you’re going to process the payment, under the Enter Payment section, you will process the payment. Enter the date of payment, select the Type. If paying via the saved credit card just select Credit Card and the Saved card information will appear and you can process as you normally would.

(the CVV is not required for you to process the payment)

After you have processed the payment you can send the parent a receipt. If you are only creating the charge you could send them a statement and/or confirmation. We recommend sending a Confirmation. You can update the Confirmation message to advise that they can log back into the Parent Portal to view and or make payments.
