Understand Work Item Categories (Work Folders)

Terminology Clarification

  • In the Admin Panel, these are called Work Item Categories

  • For end users (Mobile app, Workflows, Insights), they appear as Categories when creating or editing Work Folders


Why It Matters

  • Work Item Categories control how Work Folders are categorized by users

  • Categories support organization, reporting, and aggregation

  • Incorrect configuration can confuse users or impact reporting


When to Use This

  • Setting up Work-First Groups

  • Planning how work is organized at a site

  • Reviewing or updating Work Folder category options

  • Before adding, editing, or deleting Work Item Categories


What Work Item Categories Are

  • Group-level category options used when users create Work Folders

  • Visible to end users as Category selections

  • Used to support additional hierarchy levels and aggregation


Applicability

  • Work-First organizations:

    • Multiple Work Item Categories may be configured and managed

  • Workflow-First organizations:

    • A single “Workflow First” category is present

    • This category should not be edited


Key Characteristics

  • Categories are Group-specific

  • New Groups do not inherit Work Item Categories

  • Categories affect:

    • User experience

    • Reporting and aggregation


Watch Out For…

  • Editing categories in Workflow-First orgs is not recommended

  • Deleting categories can impact existing Work Folders

  • Changes apply immediately at the Group level
