Manage account access

Atria has three roles, and almost every access question comes down to picking the right one.

Atria has three roles, and almost every access question comes down to picking the right one.

Admins run the workspace — they add and remove ad accounts, invite and remove people, change roles, and manage billing. Members are your team: they work in the platform and, unless you say otherwise, they see every ad account in the workspace. Guests are outsiders — clients, stakeholders, freelancers, agency partners — with view-only access to the specific ad accounts you choose.

The one we'd think about hardest is guest versus member, and we'll come back to why further down.

Add a team member

  1. Click the Invite icon in the left panel.

  2. Select Member and enter their email address.

  3. Send the invitation.

If they say they can't find a workspace to join, it's almost always that the email they're logging in with doesn't exactly match the one you invited — these are case-sensitive, and a capital letter in a copied address is enough to break it. Ask them to check their spam folder, or to visit app.tryatria.com/invitation to see anything pending.

Have more than one Admin. Genuinely.

You can have several Admins on a workspace, and any current Admin can promote a Member. Click your profile icon, go to Settings & members, then People, find the person and change their role to Admin.

We'd ask you to go and do this now if you've only got one. The single most common access ticket we get is somebody discovering they have no Admin, weeks after that person left the company — and by then it's a verification process rather than a thirty-second change. Two Admins, or the role on a shared mailbox your team controls, and a resignation never locks you out of your own billing.

If your only Admin has already gone, don't worry — we can sort it. Have a read of Transfer workspace ownership or change your admin email, which covers exactly that case.

Scope who sees which ad accounts

By default every Member sees every ad account in the workspace. That's usually right for a small in-house team and usually wrong for an agency, so you can narrow it:

  1. Click your profile icon, go to Settings & members, then People.

  2. Find the team member you want to scope.

  3. Assign them to specific ad accounts. From that point on, those are the only ones they'll see.

You'll need Admin access to do this.

Two things worth knowing before you start. Assigning is opt-in — leave someone unassigned and they carry on seeing everything, so permissions only bite once you've explicitly set them. And ad-account permissions scope analytics visibility only: Inspo, AI Gen and Assets stay open to everyone on the team.

Invite a guest

Guest access lets you put a client, stakeholder or freelancer in the platform to look at specific ad accounts, without handing them the run of your workspace.

  1. Click Invite in the left panel.

  2. Enter their email address.

  3. Select Guest as their role.

  4. Choose which ad accounts they should see.

  5. Click Send invite.

Guests get view-only access to exactly the accounts you pick. They can see analytics dashboards, performance metrics, spend, creative performance and campaign insights — but they can't change reporting filters or build new reports, and they can't reach Inspo, AI Gen or Assets at all.

To remove one: profile iconSettings & membersPeople, select the Guest tab, find them and click Remove. Changing which accounts an existing guest can see works the same way.

Before you buy a seat, read this bit

Ask what the person actually needs to do. If they need to build reports, dig into creative, or work in the platform day to day, they need a seat. If they only need to see results — which covers most clients, most founders and nearly every stakeholder who says they want "access to the dashboard" — you can send them a snapshot instead. A snapshot is a shareable link to a frozen report. It uses no seat, needs no login from them, and takes about ten seconds. Share and collaborate walks through it.

We'd say a good half of the seats we're asked to add would have been better served by a link. Start with the snapshot, and upgrade to a guest or a member when someone tells you it isn't enough.

Remove a team member

  1. Click your profile icon, go to Settings & members, then People.

  2. Find the team member.

  3. Click Remove.

You'll need Admin access. And if the person leaving is an Admin, promote their replacement first — it's much easier while they're still in the building.

A few things people ask us

Do I have to assign ad accounts to everyone?

No. It's entirely optional. Everyone sees everything until you say otherwise.

What happens if I don't assign any accounts to a member?

Nothing changes — they keep seeing all ad accounts. Permissions only take effect once you assign.

Can guests see Inspo, AI Gen or Assets?

No. Guests only ever see the ad accounts you've assigned them.

Can I change a guest's accounts after inviting them?

Yes, any time. Settings & membersPeopleGuest tab, and update their assignments.

My colleague can't find the workspace.

Check the email matches exactly, including capitals, then have them look in spam or at app.tryatria.com/invitation. Still stuck? Email us the invitee's address and we'll find the invitation from this end.

Guest access isn't available in my workspace.

Drop us a line and we'll look into it with you — and in the meantime, snapshots will very likely do what you need.

If you'd like a hand thinking through how to structure access — especially if you're an agency juggling client accounts — just shout. It's a much easier conversation to have before you've set it all up than after.
