How to Add a Past-Dated Booking

If you’ve missed recording a booking on Avaana and the appointment date has already passed, don’t worry — you can easily add a backdated booking by following the steps below

Steps

  1. Go to Avaana (avaana.com.au). Navigate to Provider Log In, then enter your registered email address and password to access your account.

  2. Go to Bookings > Workcover Bookings from the left-hand menu.

  3. Click Add Booking in the top right hand corner.

  4. Follow the prompts and enter the booking details:

    1. Patient name

    2. Modality

    3. Claim number

    4. Practitioner name

    5. Service type

  5. In the date picker, use the left arrow (<) to navigate to the past appointment date.

  6. Select the appointment date and start time.
    ⚠️ You cannot set a date earlier than the original base date.

  7. Confirm the warning message:
    “You are about to create a backdated entry. Proceed with this booking?”
    Click Continue Anyway to save the booking.


Notes

  • The booking will be successfully added on the Workcover Bookings page.
    It will appear with a “Past Booking” tag for easy identification.

  • Past-dated bookings will not automatically sync to your practice management system, so you may need to add them manually if required.
