Managing a Practitioner Profile: Availability, Inactivity & Profile Deletion

Follow these steps to edit availability, set periods of inactivity, or delete a practitioner profile in your Avaana account

Update Your Working Hours


To update a practitioner’s individual working hours:

  1. Go to the Practitioners page in the left-hand menu.

  2. Select the practitioner’s name or the green pen icon to open their profile.

  3. Click the Availability section.

  4. You will see two options:

    1. Allow availability to sync automatically with your Google Calendar or practice management software, or

    2. Scroll down and toggle Use Custom Availability in Avaana.
      ⚠️ Toggle this ON if you want to set availability in Avaana that differs from your practice management software's schedule.

  5. If Use Custom Availability in Avaana is turned on:

    • Adjust the working days and time slots as required

    • Click Save changes in the top-right corner to confirm updates


Set Practitioner Inactivity / Availability

  1. Go to the Practitioners page in the left-hand menu.

  2. If you toggle Active off, the practitioner's profile will be moved to inactive and will not receive bookings at any time.

  3. If you toggle Available off, the practitioner’s schedule will appear unavailable for claimants to book appointments until it is turned back on.


Temporarily Block Availability with Date Overrides

If the practitioner needs to adjust availability temporarily without changing regular working hours:

  1. Go to the Practitioners page from the left-hand menu.

  2. Select the practitioner’s name or the green pen icon to open their profile.

  3. Navigate to Availability and open the Date Overrides section.
    Click + Add Dates.

  4. From the calendar, select the relevant date or dates the practitioner will be unavailable.
    Once selected, press Apply at the bottom.

  5. Click Save changes in the top-right corner to successfully update the practitioner’s availability.

Delete Practitioner Profile

⚠️ Deleting a profile is permanent and cannot be undone.

To permanently remove a practitioner from your Avaana account:

  1. Go to the Calendar Integrations page in the left-hand menu.

  2. Locate the practitioner’s name and click the red trash icon on the right.
