How to Set Up Customer and Attendee Fields

Baluu lets you customise the information you collect from customers and attendees during checkout. You can choose whether to collect details from the person making the booking, the people attending, or both.

This is useful for businesses such as dance schools, sports clubs, children's activities, classes, and events, where the person making the booking may not be the person attending.

Customer fields vs attendee fields

There are two types of fields available in Customers → Customer Template:

  • Customer fields – information about the person making the booking. These details are saved to their customer profile.

  • Attendee fields – information about the people attending the booking. These details can be different from the customer making the booking.

For example, a parent can book a dance class for their child. The parent is the customer, while the child is the attendee.

Customer fields

Go to:

Customers → Customer Template → Customer fields

Customer fields contain the booking contact's details.

Baluu includes standard fields such as:

  • First Name

  • Last Name

  • Email

  • Phone

  • Marketing Communications

Standard fields cannot have their field type changed, but you can edit some of their settings.

Editing a customer field

Click the pencil icon next to a field.

Depending on the field, you can:

  • Change the Label

  • Add Help text

  • Make the field Required

  • Choose whether to Ask at checkout

  • Archive the field where applicable

Click Update Field to save your changes.

Tip: Customer fields are saved to the customer's profile, so use these for information that belongs to the person making the booking.

Attendee fields

If the Attendees feature is enabled for your school, you'll see an Attendees fields tab.

Go to:

Customers → Customer Template → Attendees fields

Before configuring the fields, choose whose details you want to collect at checkout.

There are three options:

Buyer only

The person making the booking enters their own details.

No attendee details are collected.

Bookings show the buyer and the number of guests/attendees.

Use this option when: you only need the booking contact's information.

Buyer + attendees

The person making the booking is also attending.

Their details are automatically pre-filled as the first attendee, and they can enter details for any additional attendees.

Use this option when: customers usually book for themselves but may also bring other people.

For example, someone books a class for themselves and two friends.

Attendees only

The person making the booking is booking on behalf of other people and does not need to be listed as an attendee.

The buyer remains the booking contact, while details are collected for each attendee.

Use this option when: a parent books a class for their child, or an administrator books places for other people.

Changing the attendee name

When using attendee fields, you can also customise what you call the people attending.

Under What do you call them?, enter your preferred term.

For example:

  • Attendees

  • Students

  • Children

  • Players

  • Participants

  • Members

This terminology will then be used when referring to the people attending.

Setting up attendee information

Once you select Buyer + attendees or Attendees only, you can configure the fields collected for each attendee.

Standard attendee fields can include:

  • First Name

  • Last Name

  • Phone

Each field shows whether it is:

  • Standard – a built-in Baluu field

  • Required – the customer must complete it

  • Checkout – the field is collected during checkout

Making an attendee field required

Click the pencil icon next to the field.

Turn on Required, then click Update Field.

For example, if you need every student's first name, you can make First Name required.

Parent books a class for their child

Example: Dance school

A parent wants to book a dance class for their 8-year-old daughter.

Select Attendees only.

The parent enters their own details as the buyer/contact, while the child's information is collected in the attendee fields.

This means the dance school can keep the parent's contact details for communication while also having the child's name attached to the booking.

Important: Customer fields and attendee fields are separate

Changing a field in Customer fields does not automatically change the corresponding attendee field.

For example, making First Name required under Customer fields does not necessarily mean that the attendee's first name will be required.

If you need attendee information, make sure the relevant field is configured under Attendee fields as well.

Recommended setup

For businesses where customers frequently book for other people, such as children's classes or sports clubs, we recommend:

Customer fields

  • First Name – Required

  • Last Name – Required

  • Email – Required

  • Phone – Optional or Required, depending on your needs

Attendee fields

  • First Name – Required

  • Last Name – Required

  • Additional information – add custom fields if needed

Then select the appropriate checkout mode:

  • Buyer only for individual bookings

  • Buyer + attendees when the buyer also attends

  • Attendees only when the buyer books on behalf of someone else
