Managing Customer Fields and Attendee Profiles

You can now manage the information you collect from customers in two different ways: through Customer Fields and Other Fields.

Customer Fields

Customer Fields are questions about the person making the booking. These details are collected once at checkout and saved to the customer’s profile.

By default, the checkout usually asks for:

  • Name

  • Email

  • Phone number

You can add additional questions that apply to the whole booking, such as:

  • How did you hear about us?

  • Do you have any special requirements?

  • Is there anything else we should know?

These questions are answered by the person making the booking and are not repeated for each attendee.

How to manage Customer Fields

  1. Go to Data Model in your dashboard.

  2. Select Customer Fields.

  3. Edit an existing field or click Add Field to create a new question.

  4. Add the question and configure the field as required.

Other Fields and Attendee Profiles

If you need to collect information about the people attending, use the Other Fields tab.

Here, you can choose Who attends?:

The buyer can attend

The person making the booking can select “I'm attending” and can also add other attendees.

The buyer books for other people

The person making the booking does not attend. This is useful when, for example, a parent books classes for their children.

No other details

Only the person making the booking provides their details. The booking will show the buyer, along with the number of guests.

Creating Attendee Profiles

Attendee profiles allow you to create different sets of questions that can be assigned to specific listings.

For example, if you have different listings and need to collect different information from customers, you can create a separate attendee profile for each type of information you need.

For example:

  • Adult Profile — questions relevant to adult bookings.

  • Child Profile — questions relevant to children attending a class.

  • Workshop Profile — questions specific to a particular type of workshop.

This is useful when different listings require different information from attendees. You can create the profiles you need and then assign the appropriate profile to each listing.

When a profile is assigned to a listing, the questions included in that profile will be shown for each attendee booking that listing.

How to create an Attendee Profile

  1. Go to Data Model.

  2. Open the Other Fields tab.

  3. Create a new profile by selecting New Profile.

  4. Give the profile a name, such as Adult or Child.

  5. Add the questions you want to collect from that type of attendee.

Assigning a Profile to a Listing

Once you have created your attendee profile, you can choose which profile a listing should use.

  1. Open the relevant Listing.

  2. Go to the Attendees and Booking tab.

  3. Select the appropriate attendee profile.

  4. The questions assigned to that profile will then be shown for each attendee when they book.

This gives you more control over your booking forms: use Customer Fields for information about the person making the booking, and Attendee Profiles when you need specific information from each person attending.

Customer Fields vs Attendee Profiles vs Booking Questions

The main difference between these options is who the information is about and where the questions are managed:

  • Customer Fields = information about the buyer. These fields are saved to the customer’s profile and are usually asked once.

  • Attendee Profiles = information about the attendees. You can create a reusable set of questions and assign the profile to one or more listings.

  • Booking Questions = additional questions created directly on a specific listing. These are useful when the questions only apply to that particular listing and don't need to be reused as an attendee profile.

For example: if you run several children's classes and want to ask for a child's allergy information on all of them, an Attendee Profile would be useful because you can create the questions once and assign the profile to the relevant listings. If you only need to ask a question for one specific listing, you can use Booking Questions instead.
