Baluu lets you choose whether your business covers payment-processing costs or passes these costs on to customers as a booking fee.
You can manage this from Settings → Basket & Checkout → Booking fee.
What is a booking fee?
A booking fee is an additional charge shown to the customer at checkout and paid to your account.
The booking fee is charged once per booking, on the booking's first payment. This applies whether the customer:
Books online
Pays using a payment link you send
Books through the assistant
Choose who covers the payment-processing costs
Under Who covers payment-processing costs?, you have two options:
We do
Select We do if you want your business to cover the payment-processing costs.
Customers will not see an additional booking fee at checkout. The relevant Baluu commission and card-processing costs are deducted from the amount you receive.
Our customers, via a booking fee
Select Our customers, via a booking fee if you want to add a booking fee for your customers.
Customers will see the booking fee at checkout before completing their payment.
When you select this option, you can choose how the booking fee is calculated:
Automatic
With Automatic, Baluu calculates the booking fee for you.
The fee is based on:
Your Baluu commission
An estimated card-processing cost
The amount updates automatically as your card-processing costs change, so you don't need to manually adjust the booking fee.
Manual
Choose Manual if you want to decide how much booking fee your customers pay.
You can set either:
A percentage of each order, or
A fixed amount per order
You can use one of these options, but not both at the same time.
For example, you could set a 4% booking fee or a fixed £1 booking fee per order.
Refunding booking fees
You can also choose what happens to the booking fee when a customer cancels.
Turn on Refund the booking fee when a customer cancels if you want the customer's booking fee to be included when their booking is refunded.
Please note that payment-processing costs are not returned to your business when a payment is refunded. This means that if you refund the customer's booking fee, the processing cost will come out of your account.
If this setting is switched off, the booking fee will not be refunded when the customer's booking is cancelled and refunded.
Preview your fees
Before saving your changes, you can use the preview to see how the selected booking-fee setup affects a sample ticket.
The preview shows:
Customer pays – the total amount charged to the customer
Booking fee – the additional booking fee, if applicable
Baluu commission – Baluu's commission for the booking
Estimated card-processing cost – the estimated payment-processing charge
You receive – the estimated amount your business receives after applicable costs
You can change the ticket value in the preview to see how the amounts change for differently priced bookings.
Save your booking fee settings
Once you're happy with the setup, select Save booking fee.
Your chosen booking-fee settings will then apply to applicable new bookings.
Note: The figures shown in the preview are designed to help you understand how the fees are calculated. Actual payment-processing costs may vary depending on the payment.
