Change, withdraw or ship a Bookvault order yourself

Why a Bookvault order's address and items lock, how to cancel or take an order back with Withdraw or Ship it myself, and how to avoid printing twice.

Need to cancel a Bookvault order, fix a wrong address, or post the book yourself? Bookvault gets an order's address and items once, when it's sent, and can't change them afterwards. So while Bookvault has an order, Beventi locks those details, and you take the order back first.

What's locked while Bookvault has an order

  • The delivery address. The edit pencil is grayed out, with the note "Bookvault already has this order with its current address. Withdraw it first to change the address."

  • The items. The order's edit page shows an amber note saying the items can't be changed.

  • Shipping status, tracking and labels. Bookvault marks the parcel shipped and adds tracking when it posts it.

Most orders waiting under Needs you are kept off your shipping screens too, until you take them back. An order Beventi has handed back to you, such as one where the reader paid for a courier, is yours to ship straight away.

The lock lifts once the order shows Withdrawn, or once Bookvault has shipped all of it. If part of the order has shipped, the rest goes with the details Bookvault already has.

Ship it myself or Withdraw

Which button you see depends on whether Bookvault has the order yet:

  • Ship it myself: Bookvault doesn't have the order yet. Beventi won't send it, and it's yours to ship as usual.

  • Withdraw: Bookvault has the order, or might. Beventi asks Bookvault to cancel it. If Bookvault has already started printing, it can say no and charge your Bookvault account for the work. If Beventi couldn't confirm Bookvault received the order, Beventi stops sending it and asks you to check your Bookvault account first.

Once an order has shipped, or part of it has, it can't be withdrawn. A Partly shipped order may still show Withdraw, but pressing it tells you "Part of this order has already shipped, so it can no longer be withdrawn."

Take an order back

  1. Open your profile menu, choose Integrations, press Manage on the Bookvault card, then go to Orders.

  2. Find the order under Needs you, In progress or All orders.

  3. Press Ship it myself or Withdraw.

  4. Read the confirmation, then press Withdraw (or Ship it myself) again to go ahead, or press Keep it to leave the order as it is.

  5. Read the message that appears:

    • "Withdrawn. Nothing further will be sent for this order." The order is stopped and it's yours to ship.

    • "Withdrawal requested. Bookvault has been asked to cancel it." Wait until the order shows Withdrawn before you post a copy yourself.

    • "Withdrawal recorded. Cancel it in your Bookvault account to stop it being printed." Beventi couldn't cancel it for you, so cancel it in your Bookvault account. The confirmation warns you about this before you press the button.

    • "Withdrawn. Beventi could not confirm whether Bookvault received this order..." Check your Bookvault account before you ship it yourself.

If the order is still in Ready to send, it hasn't gone anywhere yet. Press Hold if it's scheduled, then ship it yourself as you normally would.

Fix a wrong address or change the items

  1. Withdraw the order as above, and wait for it to show Withdrawn.

  2. Edit the address or items on the order.

  3. Send it to Bookvault again from Ready to send. The confirmation asks "Send this order to Bookvault again?".

Make sure a book isn't printed twice

If you ship a copy while Bookvault is still printing one, your reader gets two books and you pay twice. Whenever Beventi says one of these, check your Bookvault account before you post a copy or send the order again:

  • "Bookvault may still print this one."

  • "Bookvault may still have the earlier order."

  • "Beventi could not confirm whether Bookvault received..." the order.

If Bookvault still has the order there, cancel it in your Bookvault account first, or let it carry on and don't ship it yourself.

Why Bookvault parcels are left out when you mark orders shipped

When you use Mark dispatched on the Shipping page or an order form's Shipping tab, Beventi skips any parcel Bookvault has. You'll see a note such as "1 shipment is with Bookvault and was left alone." That's on purpose: Bookvault marks its own parcels shipped, with the right tracking.

FAQ

Can I cancel a Bookvault order?

Yes, with Withdraw, as long as it hasn't shipped. If Bookvault has already started printing, it can say no and still charge you. Refunding or canceling the order in Beventi also asks Bookvault to stop it. See "What happens to a Bookvault order when you refund or cancel".

Does withdrawing an order cost anything?

Beventi doesn't charge you. If Bookvault didn't have the order yet, Bookvault won't charge either. If it had started printing, check your Bookvault account for any charge.

A Bookvault parcel was lost after it shipped. Can I send another copy?

Yes. Once Bookvault has shipped an order, you can edit it and post a replacement yourself.

Who can withdraw orders?

Only the account owner or an Admin. See "What is the Admin Role?".
