Track your stock orders and mark them received

Follow your Bookvault stock orders, find tracking, mark a box received so your counts stay right, and fix or withdraw an order.

Every stock order you place shows on the order form's Stock Needed tab, under Order stock. You can see where each one is, follow its tracking, and once the box lands, mark it received so your counts stay right.

Find your stock orders

  1. Open the order form and choose Stock Needed.

  2. Choose the Order stock sub-tab (the other one is Needed). The number beside it is how many orders are still open.

Each row in Stock orders shows:

  • a status, such as "Printing" or "Shipped"

  • how many copies and items, such as "12 copies · 3 items"

  • where it's going and when you ordered it

  • once it ships, the ship date, the delivery service and the tracking number. Click the number to open the courier's tracking page in a new tab

  • once you've marked it received, the date, such as "Received Oct 12"

Open orders show first. Press the Show all button, which also gives the number of orders, to see received and withdrawn ones too, and Show fewer orders to tuck them away again. If you haven't ordered any stock for this form, you'll see "No stock orders yet." Your list stays here even if you later disconnect Bookvault.

When an order ships, Beventi lets you know. That note, like the Bookvault Orders page, calls a stock order a "print run". Press View print run, then choose Order stock.

What the status means

  • Checking or Sending: the order is on its way to Bookvault.

  • With the printer: Bookvault has the order.

  • Printing: Bookvault is printing your books.

  • Partly shipped or Shipped: the parcel is on its way to you.

  • Received: you marked it received.

  • Withdrawn: you withdrew the order. If Bookvault already had it, check your Bookvault account that it stopped.

  • Cost to approve, Needs funds, Cannot deliver, Needs a look, Could not send: the order is waiting on you. See below.

See an order's details

Press Details on a row to see the items, the address and a timeline. Show full history lists every step.

The account owner, Admins and Assistants also see the cost under Cost: Printing, Delivery and Total, marked "Estimate", "Order total" or "Invoiced". Team roles without access to financial information don't. Until Bookvault reports its figures, it says "Waiting for Bookvault's figures". See "Understand Bookvault costs and who pays".

Mark an order received

When the box arrives:

  1. Find the order and press Mark received.

  2. The status changes to Received and you'll see "Marked received. Its copies are now on hand."

The order's copies move from "Ordered" to "On hand" in one step, so "To order" stays the same. Please don't also type those copies into "On hand" yourself, or they'll be counted twice.

Mark received is there at every stage until a withdrawn order is confirmed stopped, because tracking can lag behind the courier. The best time to press it is when the books are in your hands.

Pressed it by mistake? Press Undo on the row, or in the message that pops up. You'll see "Marked not received." and the copies go back to "Ordered."

Anyone on your team who can open the order form can mark an order received.

When an order says "Waiting on you"

A held order shows an amber line starting "Waiting on you." with the reason, for example "Top up your Bookvault balance and it prints." Nothing prints while an order is waiting.

The account owner or an Admin can press Review in Bookvault orders to fix it: approve a new price, try again, or withdraw the order. For each hold and its fix, see "Fix a Bookvault order that needs you".

Change or cancel a stock order

You can't change the items or address once an order is placed, and shipped orders can't be withdrawn. To change an order that hasn't shipped, withdraw it and place a new one.

  1. As the account owner or an Admin, press Open Bookvault orders at the top of Stock orders, or Review in Bookvault orders on a held order.

  2. Find the order and press Withdraw.

  3. Read the Withdraw this print run? message before you confirm. It tells you what will happen for this order.

If Bookvault hasn't received the order, nothing has been charged. If Bookvault already has it, Beventi asks Bookvault to cancel it. Once printing has started, Bookvault may say no and still charge you. If Beventi can't cancel it for you, the message asks you to cancel it in your Bookvault account.

Until Bookvault confirms the cancellation, those copies still count as Ordered, so you won't order them twice by mistake. Check your Bookvault account before you get those copies another way.

FAQ

My box arrived but it still says Printing. Can I mark it received?

Yes. Mark received works at any stage, so go ahead once the books are with you.

I marked the wrong order received. How do I undo it?

Press Undo on that order's row. The copies move back from "On hand" to "Ordered."

Where's my tracking number?

It appears on the order's row once Bookvault ships it. Click it to track the parcel with the courier.

My stock order says "Needs funds" or "Waiting on you". What do I do?

Nothing prints while it waits. The account owner or an Admin can press Review in Bookvault orders to fix it. See "Fix a Bookvault order that needs you".

Why can't I see costs or fix an order?

The links to fix or withdraw orders show only to the account owner and Admins, so ask one of them to take a look. Cost figures show to the owner, Admins and Assistants, and only once Bookvault has reported them.
