Order printed stock from Bookvault

Order printed copies of your books from Bookvault for an event or your shelf, delivered to your address, the venue or anywhere else.

Need boxes of books for a signing or your own shelf? You can order printed copies from Bookvault straight from your order form. Bookvault prints them and posts them to the address you choose, not to your readers. Bookvault bills your own Bookvault account, and Beventi doesn't charge you for the order.

Before you start

  • Connect Bookvault. See "How to connect Bookvault to Beventi".

  • Link your books to their Bookvault titles. Books that aren't linked can't go in a stock order.

  • Use a Direct Sales or event order form. Wholesale and ticket forms don't offer Order stock.

  • Check your "On hand" counts on the Needed sub-tab first.

Step 1: Open Order stock

  1. On the order form, open the Stock Needed tab, then the Order stock sub-tab.

  2. Press Order stock. It opens full screen, headed "Order stock" with the name of your form underneath, and Back to stock needed at the top left.

Step 2: Choose where the books go

Under Deliver to, pick one. The page says Bookvault prints the order and ships it to the address you choose, not to your readers.

  • Your address: your saved shipping address. If you haven't saved one, the page starts on Another address.

  • Event venue: on event forms whose in-person event has a street address. Check that the venue accepts parcels for guests.

  • Another address: search for a hotel, venue or any address under Find an address, or press Enter address manually.

When you pick a hotel or venue, its name goes in Address and the street in Address line 2. Check the first and last name under Name on the parcel. Phone (optional) is for the courier.

Once there's an address and a name, the card folds into a short summary showing your choice, the name and the address. Press Change to open it again, then Done to fold it away. Inside, use Edit address or change the name.

Bookvault needs a ZIP or postal code, and US and Canadian addresses also need a state or province.

Step 3: Choose what to order

Under Choose what to order, the list opens on Needs stock, with every book that still needs copies ticked at its "To order" number.

  • Use All items to add other books, or Selected to review your list. Search items narrows any of them.

  • Tick books one by one, a whole series, or Select all. Each series shows how many are selected.

  • Change the copies with the box or the minus and plus buttons. 0 unchecks a book, and Select what is needed puts the suggestion back.

  • If nothing needs stock, you'll see "Nothing needs stock right now." with Show all items beside it.

Books not linked to a Bookvault title sit under "Bookvault cannot supply these". The account owner or an Admin can press Match them up to link them. The summary has a See which link to jump to them. One order holds up to 100 different items.

Step 4: Get a quote

Press Get quote in the Order summary. On a wide screen it's a panel down the right edge. On smaller screens it sits under the list, and a bar at the bottom has Get quote and a See summary link. If the button is grayed out, the line above it says why, such as "Choose at least one item to order." or "Add a delivery address to get a quote." Once you've quoted, you'll see:

  • Delivery: Bookvault's price to post the parcel, with the delivery service.

  • Printing: an "about" figure from the Bookvault print prices saved when you linked each book. Without a saved price, or with prices in different currencies, it says "Billed by Bookvault". Before you quote, Delivery reads "Get a quote".

  • Estimated total: printing plus delivery, when the two can be added.

  • Arrives in about: an estimate in business days, such as "6 to 9 business days".

On an event form you'll also see whether it should arrive before your event starts. It's an estimate, so leave yourself some room. The Printing and Estimated total lines show to the account owner, Admins and Assistants, but not to a team role without access to financial information.

Changed something? You'll see "Your order changed. Get a new quote." If the page says Bookvault doesn't print to that address, choose another one.

Step 5: Place the order

Nothing goes to Bookvault until you press Place order. Cancel leaves without ordering.

The delivery price from your quote is held. If it goes up before the order ships, the order waits for you to approve the new price. Printing is billed by Bookvault at its actual cost, so the printing figure is only a guide.

You'll go back to the Order stock tab and see "Order sent to Bookvault. Tracking shows here once it ships." If Bookvault needs something from you first, the page says "This order has not gone to Bookvault yet." and gives you Fix it on the Bookvault orders queue and Back to stock needed. Nothing prints until it's fixed.

To follow your order or mark it received, see "Track your stock orders and mark them received".

FAQ

Does Beventi charge me for stock orders?

No. The order summary says: "Bookvault bills printing and delivery to your Bookvault account. Beventi does not charge you for this order." Make sure your Bookvault balance covers it. See "Understand Bookvault costs and who pays".

Why can't I see the Order stock button?

Check that you're on the Order stock sub-tab (the button isn't on Needed), that Bookvault is connected, and that it's a Direct Sales or event form. Wholesale and ticket forms don't have it.

Can I ship stock to my hotel or the event venue?

Yes. Choose Event venue, or search for the hotel under Another address. Check first that they accept parcels for guests.

Can I change or cancel a stock order?

You can't edit it once it's placed, but you can withdraw it and place a new one. See "Track your stock orders and mark them received".

Can I place the order as a team member?

You can build it and get a quote, including the delivery price. Only the account owner or an Admin can press Place order. Everyone else sees "Only the account owner or an admin can place this order." and no "Place order" button.
