Hot Sheet

Overview

The Hot Sheet provides consistent MLS updates of new properties and price reductions without leaving the BoomTown CRM. The listing manager tool will provide insights into leads' behaviors that you and your team represent.

Using the Hot Sheet

To access your Hot Sheet, navigate to Hot Sheet on the left-hand menu.

Note: Don't see Hot Sheets available as an option? You'll need to reach out to your Broker/Admin to have this enabled for your account!

The Hot Sheet will pull in properties specific to your MLS. If you are not seeing any properties or are missing some listings that should appear in your Hot Sheet, be sure you've added your MLS ID to your BoomTown Agent profile.

At the top of the page, you'll find a number of filters to help you narrow down your results.

  • County - View properties based in a specific county.

  • Area - View properties based in a particular area.

  • Price - View properties within a specific price range.

  • Type - Sort by property type:

    • Single-Family Home

    • Condo

    • Villa/Townhouse

    • Vacant Land/Lots

    • Manufactured Home

    • Multi-Family

    • Boat Slip

    • Rentals (if applicable)

    • Shared Interest

  • Status - Sort by property status:

    • Price Reductions

    • New On Market

    • Back On Market

The Timeframe dropdown allows you to filter out properties based on the length of time a property has been on the market. Any updates to your MLS such as new properties or price reductions within your selected timeframe will display in your results.

Any filters selected within the Hot Sheet are "sticky". This means that when you navigate to a different part of the BoomTown CRM or log out entirely, your filters will still be in place when you return to the Hot Sheet.

If you would like to start your search from scratch, clear your results by clicking on the gray X that appears next to each selected filtering option.

Property Results

Once you have selected your filters, you can browse the Hot Sheet results based on the options chosen. Each property will display a specific banner at the top depending on its listing status.

New listings will show a yellow banner at the top.

Price Reduced listings will display a green banner with an arrow pointing down. It will also include the amount that the property has been reduced by.

Back On Market properties will display a blue banner at the top of the listing.

For each property listing in your results, you can click the gray arrows to the left and right to view the photos associated with that listing.


The listing details section displays basic details about the property, such as address, price, bedrooms, bathrooms, and square footage. You can view the full listing details page on your website by clicking on the property's address.

Alternatively, you can use the More Detail dropdown to expand the property information. This section includes the MLS number, pricing history, and a link to view the full property details on your website.


Best Fits and Favorites

Beneath each Hot Sheet listing, you'll find the Best-Fits and Favs buttons. If there are any Best-Fit leads for that property, or if any leads have added it to their Favorites, you will see those numbers reflected.

Clicking on either the Best-Fits or the Favs buttons will automatically open a filtered list for those leads in Lead Central. From here, you can select the leads in this list, then use your Bulk Actions dropdown to send a bulk email or text to let them know when a new property hits the market, or when there is a price reduction.

You will also have full access to your Advanced Lead Filters by clicking on the gray arrow at the far left. This will allow you to narrow down the list of leads further by adding additonal filters.

Tip: A good way to use your Advanced Lead Filters is to segment your list of Best-Fit leads to only display leads with a Best-Fit score of above 80. This will narrow down the leads to only those who are a significantly higher match for that particular property.

Notify Assigned Agents

As an Agent user, you will only have access to the leads in your personal BoomTown database. However, if there are other leads owned by other Agents on your team that are marked as Best-Fits and fall within any of your selected filters, you can notify their assigned Agent by clicking on Notify Assigned Agents in the top right corner.

Clicking on this link will open an email window, where you can quickly compose an email notifying your fellow Agents of any best-fit leads that they may own.
