Import Students into Bound

Learn how to import students from a data file, how to prepare your file, and how to run the import.

Bound allows you to import students from a spreadsheet using our Import feature.

The system reads your columns by their header names, so the file has to match the downloadable template exactly before you import.


Prepare Your File

Before uploading student data, ensure the file you are using is in the proper format. To download our template, Go to Students -> Import.

Confirm your first name and last name values are in the correct columns before importing. Swapping those two is a common mistake.

Tip: Use features like Data Cleanup -> Trim Whitespace in Google Sheets or Find & Replace in Microsoft Word to make sure your data file doesn't contain any empty cell space.


Import Students

Tooltip: Import a header plus one student first to confirm your file is mapped correctly, then import the rest.

  1. Go to Students and confirm you are in the correct school year (for example, 26–27).

  2. Go to Manage Students and click Import Students.

  3. Set the graduation year to the year you are working in. The import is based on the school year you select, so set this even if the value looks the same as last year's.

  4. Copy your header and data from your spreadsheet and paste it into the import field.

  5. Click Continue to mapping.

  6. Confirm the mapping: student ID, last name, first name, gender, graduation year.

  7. Click Run the report.

The report takes a moment, then confirms it is done and sends results by email. You can import any number of students, however the email response will show up to 500 students per email

Verify the results

  1. Open the results email. Each row shows its status (for example, "row one, the student was added").

  2. Copy the results back into your spreadsheet and match them to your rows to spot check that everyone was added.

Once the one-student test checks out, paste the rest of your data, set the graduation year, continue to mapping, run the report, and verify the email the same way.

Import Documents the Same Way

  1. Go to Students -> Documents -> Manage Documents and click Import.

  2. Prepare your file with the four required identifiers: first name, last name, gender, and graduation year. Do not use grade.

  3. Include the document name, along with the signee and any other required fields.

  4. Paste the data and import it.
