Please find below the answers to some frequently asked questions on our recruitment module:

How much does Recruitment cost?

The Recruitment module is charged at £20 a month and allows you unlimited open vacancies (please note this prices excludes VAT)

To turn the Recruitment module on and off go to Configure > Settings > Modules > Recruitment

Can I have more than one recruiter?

Yes, you do have the option to select multiple recruiters which is handy if you want a line manager to oversee the recruitment process.

If you don't select any recruiters, all HR users will automatically be assigned to the vacancy.

If you do select a recruiter, HR users will still have visibility over these vacancies.

Can I customise the vacancy form?

The vacancy form isn't currently customisable.

What happens to my data if I switch off Recruitment?

  • When you switch off the Recruitment module all your information will remain in the system with the exception of archived applicants.

  • Breathe will automatically delete any archived applicant after 90 days (unless the applicant gives authorisation for you to hold their data for future roles and you exclude them from the automatic deletion).

In the example below, the new applicant provided permission to hold their record for a future vacancy.


By clicking the "x" icon, you can exclude the applicant from automatic deletion.

Please note: that when you close a vacancy, it will automatically archive your applicants and they will be deleted after 90 days.

Can I use the same vacancy to fill multiple roles?

You're not able to hire multiple candidates from one vacancy at once, but you can "un-archive" a vacancy and hire more applicants.

Simply click on the "re-open vacancy" button.

Can I hire internally?

You're not able to hire a candidate who is already in your Breathe account. You would need to edit their Job tab to change their role.

I haven't received the documents attached to an application

Applicants will need to click "upload" in order to attach documents to their application before they click "finish application". If this hasn't been done, applications can't be edited after submitting; any additional documents will need to be sent separately.

Can applicants edit their application after submitting it?

Yes, applicants will now be able to edit their application within 24 hours of submission.

How will I be notified of new applications?

As a HR user, if you're opted in to receive the daily HR notifier email (found via your profile > email notifications tab) you will receive a daily email in the morning telling you how many applications you have for your vacancy.
