How to mark your people as 'Left'

Change your people's statuses to Ex-employees

When an employee has left your company, you can reflect this in their Breathe profile.

To do this head to their profile summary> edit (pencil icon) > change person status:


From here you can change their status to pending, current, leaving and left.

PLEASE NOTE: You must enter a leave date and reason as you will be unable to complete this action without this.

When you mark someone as having left your company, this will block their access to their Breathe profile. If you are marking them as leaving, they will lose access to their Breathe profile on their leaving date. When an employee is marked as "Left," their email address is removed from your account, and their employee slot is freed up, allowing you to add a new employee. Once the leave date is set, the employee will be hidden from the People list but can still be found using the search bar. Additionally, an HR user will receive an automated email with details about the offboarding process and required next steps. You can also assign the Offboarding workflow to the employee to manage tasks related to their departure.

Reassigning Line Management Responsibilities

When an employee is marked as 'left,' the system will automatically prompt you to resolve any outstanding line management responsibilities.

How do I reassign a leaving employee's direct reports?

When an employee is marked as leaving, the system provides two options for managing their direct reports:

  1. Select a New Line Manager: Use the system prompt to assign employees to a new manager.

  2. Use the Bulk Assign Tool: Opt for the bulk assign tool from the People page for mass reassignment.

I don't see the option to mark them as 'Left'?

This will most likely be because the person is the Admin on the account.  They will need to transfer those rights to another HR user (via their login) before you can register them as a leaver.

What should I do if I encounter an 'Error updating personal status'?

You may encounter an "Error updating personal status" when trying to change an employee’s leaving date and reason. This error typically occurs if the leaving date entered is earlier than the employee’s join date. To resolve this:

  • Update the employee’s join date to be on or before the intended leaving date.

  • If the employee never actually started, set the leaving date to match the join date. After making these adjustments, save the updated person status with the leaving date and reason.
