How to retain left employees' email addresses for future reference

This guide is for Admin and HR users.

From the 9th April 2024, when an employee leaves the company and their status is updated to 'Left' in Breathe, their email address is removed from their profile.

We have implemented this modification to resolve the issue where email addresses linked to inactive users cannot be used on other Breathe accounts.

However, you may wish to retain their email for future reference. Here's how you can save a left employee's email address.


Save the email address

Before setting the employee as Leaving / Left, access their profile > copy their email address from the Contact Details 'Email' field.


Once the employee's email address has been copied, navigate to the employee's profile > Personal > Edit > Paste the email address into the 'Personal Email' field > Click the 'Update Profile' button.

Tip: You can run a Data Export before the 9th April to easily export employee emails before they are automatically removed.

This can be done by going to Reports > HR reports > Data export.


Set the employee as Leaving / Left

Once the email address is saved, proceed to update the employee's status to Leaving / Left.

To do this go to their profile > edit > change person status. From here, you can change their status to Leaving or Left.

You must enter a leave date as you will be unable to complete this action without this.

The employee's email will be removed from Breathe, only after they have been marked as 'Left', not while they are in the process of leaving.
