View changes made to people's profiles

The change log is a report that records any changes made to an employee profile. For example, change of address, updated bank details and updated salary fields. 

The first step is to make sure employee change logs are switched on. This can only be done by the admin user on the account. 

1) Click Configure > Settings > Modules > Included modules > Change Logs

2) Once you have enabled change logs, they will then appear under People > Data > Change logs

3) Go ahead and click the download button to download the employee change logs

You will then be taken to a page which looks a little bit like this: 

The change log will only export on changes made since the last export was run. You can see the date the change was made, the name of employee who was changed, who made the change, what was changed and what is the new value entered.  

This is an ideal report to hand over to your payroll team (any finance user), since this will provide them with the updated details only. 

Please note: This does not include new starters details. If you need to pull off a report with your new starters details, you can run an employee export (reports > export employee data).

FAQ's

Why are my change logs empty?

This will be because no changes have been made to an employee's details since the last time you ran the report.

Please remember that if you run the report that you should save it to prevent losing the exported details.

If you should accidentally produce a report and then click off the Excel spreadsheet, don't panic - the details of all changes will still remain visible in the list underneath the export button. You can search for the latest changes using the search function:

Who can access change logs?

Users with both HR & finance user permissions assigned to them will be able to view the change logs within a Breathe account.

Does Breathe have an activity log, containing the recent actions of users?

No. Users will be able to access the information assigned to them as per the permission they've been assigned within the account. For more information on who can see and do what within the system, please see the guide below:
