As you can probably imagine, we receive a lot of communication in regards to data. But don't worry, when it comes to exporting your data from Breathe, it's as easy as 1, 2, 3.

Accessing data

The easiest way to access any piece of data within Breathe is through our Reports menu.

How to download

We've kept this simple too. Just click on the report and you'll see the blue button below.

Click this to download your data and choose the Excel spreadsheet option for a more in-depth report.

Please be aware some reports are incompatible for Excel downloads.

Types of report

Employee data export - Arguably the most important report in our database, this export provides the majority of your employee profile information in one download. Need help? No biggie. Check out the article below.

Remuneration report - One for the finance team. Quickly access and export Salaries, Additional payments, Benefits and Auto Enrolment with our remuneration report function. This article explains this in more detail:

Payroll export

Keep up-to-date with changes to employee details by regularly exporting your payroll information. Go to Reports > Payroll exports.  Our how-to article explains more:

Export documents

There are two main sections for storing documents and important information on Breathe: Company and Employee. These need to be downloaded individually.

Select Company > Company documents, and click the 'download button' as shown below. PDF documents that are downloaded will open in a new browser tab.

Likewise, to export Employee documents, select Profile > More > Documents. Simply click the button next to each document and watch in wonderment as they seamlessly download to your computer.

How to download invoices

If you pay via a credit card or Direct Debit you can view and download all your previous receipts of payment from the billing history screen. Go to Configure > Plan and Billing > Billing history. (Admin, HR and Finance users will typically have access to this section, with Finance user access available for Regular plans and above.)

All previous invoices will appear in your billing history in chronological order. If you wish to change how they are displayed, click on the title columns to reorder the list.

Click on the download button to export and print previous receipts. Ensuring invoices are sent to the correct recipients By default, invoices are sent to the admin user of the account. To manage or add additional recipients:

  1. Navigate to Settings > Email Notifications.

  2. Enter a third-party email address under the field labeled Invoice Receiver. Understanding multiple invoices If you see multiple invoices for the same client, it's likely because they are on a monthly billing plan. To switch to an annual plan:

  3. Log in to the client account.

  4. Go to Configure > Plan & Billing > Change Plan.

  5. Select the annual plan. Note: Changes to an annual plan will take effect at the start of the annual billing cycle, but any monthly invoices already generated will still be valid.

Security and GDPR

We take the protection of your employee records very seriously, which is why we invest in only the highest level of data security. Abiding by GDPR regulations is vital for clarifying and adhering to individual privacy rights. Fortunately, we're up-to-date with GDPR enforcements (May 25, 2018) so you can rest safe in the knowledge that we've got you covered.

Under any compliance regime, it's easy to state, but much harder to prove. To this end, we are proud to be in receipt of the ISO 27001:2013 certification that sits alongside the accreditation of our hosting provider, Amazon Web Services.
We constantly review and reinforce our security practices. Take a look at our security section on our website to find out more.
